About The Position

The Administrative Assistant will generate weekly reports for biologic patients from the previous week and Mohs patients scheduled for the upcoming week. They will audit patient charts to confirm HIPAA consent forms are signed, submit the completed reports, and review the AI-generated report. The assistant will then prepare all required patient paperwork, send documents to providers for signature, and upload the signed forms into the appropriate patient charts.

Requirements

  • Biologic Coordinator and/or Specialty Pharmacy experience required.
  • Sound judgment, critical thinking, discretion, and exceptional attention to detail.
  • Previous experience working in a dermatology office or similar healthcare setting required.
  • Knowledge of medical terminology and procedures related to dermatology required.
  • Knowledge of CoverMyMeds software program required.
  • Knowledge of ICD-10 codes, J codes, & CPT codes required.
  • Pharmacy knowledge such as benefits, dosing, prior authorizations, patient assistant programs, etc. required.
  • Excellent communication skills, both verbal and written.
  • Excellent Customer Service skills with the ability to provide compassionate care.
  • Excellent data entry, proofreading, and record management skills.
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Ability to maintain professionalism and confidentiality when dealing with sensitive patient information.
  • Ability to work effectively independently with minimal direction and/or guidance.
  • High school diploma or equivalent required.

Nice To Haves

  • additional education or certification in a related field is a plus.

Responsibilities

  • Perform a wide variety of clerical work including the maintenance of accurate and detailed records, verifying accuracy of information, researching discrepancies, auditing, and recording information.
  • Maintain and post data relating to specialty medication records and patient charts.
  • Initiate and follow up on prior authorization requests for specialty medications.
  • Initiate and follow up on Appeals process.
  • Verify insurance eligibility.
  • Present diagnosis that maybe contradicted for use in certain medications.
  • Understanding of FDA approved indications for Biologic Medications.
  • Communicate with healthcare providers, insurance companies, pharmacies, and patients.
  • Enroll patients in co-pay and/or patient assistant programs.
  • Maintain confidentiality and adhere to HIPPA guidelines.
