About The Position

Performs a variety of computer, clerical, scheduling, and supply functions necessary for the operation of the department. Responsibilities include handling and controlling written and verbal communication between unit personnel and numerous physicians, ancillary services, patients, visitors, and families. Requirements

  • High School diploma or GED
  • Previous medical secretary experience and knowledge of medical terminology preferred.
  • Bilingual a plus
  • Basic computer literacy
  • Previous experience with Epic preferred.

Responsibilities

  • Assembles and labels charts for incoming patients.
  • Transcribes physicians orders in an accurate, neat, and timely manner.
  • Notifies Patient care Manager of any lack of information on orders.
  • Accurately enters all orders from Lab, X-Ray, etc. into computer.
  • Assures that each order on physician’s order sheet and Kardex’s have corresponding number from computer.
  • Secures records from previous admission as necessary.
  • Prepares chart for transfer and secures photocopies as needed.
  • Prepares chart for discharge and assures that chart is complete.
  • Notifies Patient Care Manager of any lack of documentation at time of discharge.
  • Enters discharge into the computer when patient has left unit.
  • Notifies appropriate physicians of any consultations, discharges, transfers or expirations.
  • Lists all new admissions, diets, changes or discharges on Kardex’s and enters necessary information into computer.
  • Returns to Pharmacy all medications that RN has removed from cassette at discharge.
  • Daily, checks medication supplies, obtain necessary meds from Pharmacy and supplied from CSR.
  • Keeps Patient Care Manager informed of incoming reports, new orders and other messages.
  • Secures needed services as requested (Housekeeping, Maintenance, etc.).
  • Greets physicians, obtains charts and offers assistance within scope of responsibility.
  • Greets patients and visitors and assists as necessary.
  • Maintains communication with Patient Registration Department.
  • Cooperates with other departments to provide quality patient care.
  • Notifies Clinical Coordinator, Patient Registration and Switchboard of any expiration and time.
  • Answers telephone promptly and in a courteous fashion.
  • Uses FAX machine to send and receive data from other areas.
  • Considers age specific needs when addressing patients/visitors: Neonate, Child, Adolescent, Adult, Geriatric.
