About The Position

As a member of the Office of Records and Registration team, the Health Records Coordinator will facilitate the maintenance and compliance of student health records, the student health records database(s), and any/all reports related to health records keeping. This person will act as a resource in health records compliance to Methodist College faculty, staff, and students, as well as Carle Health student clinical personnel, as well as be an integral part of the Office of Records and Registration team.

Requirements

  • Associate's Degree
  • Knowledge of FERPA with respect to protecting the privacy of student education records.
  • Knowledge of HIPAA, TJC, DNV, OSHA and other federal/state regulatory agencies guiding healthcare.

Responsibilities

  • Provides regular and ongoing reports on the state of the student health records and factors affecting compliance.
  • Maintains Viewpoint and Castle Branch database systems and master spreadsheet of student health records.
  • Creates semester compliance reports, with all necessary health records for all MC students and disseminates the reports to the key stakeholders at the college.
  • Partners with Carle Health student clinical compliance personnel in ensuring MC clinical student compliance.
  • Advocates for student health record interests with administration and faculty leadership.
  • Makes recommendations for initiatives that would enhance student compliance.
  • Assists academic affairs with clinical student compliance records and delinquency issues.
  • Work with students one on one to ensure individual compliance.
  • Works as a team player with Operations, Enrollment Management, and Academic Affairs to ensure MC student compliance.
  • Is knowledgeable of college compliance requirements, brings any questions or concerns regarding compliance to the immediate attention of leaders, and takes appropriate action on concerns related to compliance.
  • Demonstrates the Values of Methodist College as well as adheres to policies and procedures and safety guidelines.
  • Demonstrates ability to meet business needs of department with regular, reliable attendance.
  • Employee maintains current licenses and/or certifications required for the position.
  • Practices and reflects knowledge of FERPA with respect to protecting the privacy of student education records.
  • Practices and reflects knowledge of HIPAA, TJC, DNV, OSHA and other federal/state regulatory agencies guiding healthcare.
  • Completes all annual education and competency requirements within the calendar year.
