About The Position

This position exists to plan, develop, and implement the coordination of the health services consultation and training, QAPI data entry, tracking, and analysis, conduct research as assigned, scheduling and coordinating the medical orders for outside appointments and consultation services, coordination of medical equipment, serves as an on-site HIPAA expert/facilitator, provide supervision for Medical Runners (Health Care Tech 1) positions, and completing/ensuring the accuracy of the agency census reports that are used for tracking and billing purposes, researching problems/solutions, trouble-shooting complaints or discrepancies, assuring compliance with confidentiality HIPAA requirements, security, medical standards as the apply to record keeping, and applicable rules, laws, and regulations pertaining either directly or indirectly to the Records unit. This position is also responsible for scheduling of all acute medical appointments, follow-ups, and annual exams for the agency. Notwithstanding the other duties outside of medical records storage, maintenance and management, this position also requires case management in the areas of guardianship, insurance and community access.

Requirements

  • Must possess an LPT License or QMAP and be checked off by PRC Nursing.
  • Five (5) years of relevant experience in an occupation related to the work assigned to this position OR A combination of related education and/or relevant experience in an occupation related to the work assigned equal to five (5) years.
  • Must possess a valid, non-restricted Colorado Driver’s License.
  • Must demonstrate the ability to lift 50 lbs, bend, kneel, squat, etc, and perform interventions proficiently throughout employment.
  • State of Colorado residency at the time of application (unless otherwise identified in the posting), and residency within the state throughout the duration of employment in this position.

Responsibilities

  • Independently oversees scheduling and coordination outside appointments and consultations for residents as ordered by the Medical Providers.
  • Determines a need for and creates a way to coordinate data collection of resident’s annual PPD’s (TB testing). Vaccinations, and annual requirement of data entry in Colorado Department of Public Health & Environment (CDPHE).
  • Collects residents’ infection data, surveillance, and analysis of occurrences.
  • Independently coordinates with contracted services for agency DME/Medical Supplies and tracks usage and billing thereof, including inventory for individual resident use and emergency stock supply.
  • Functions as a Work Lead, providing technical guidance and operational direction to the team.
  • Acts as the central "air traffic controller" for all medical appointments, ensuring Medical Runners are efficiently assigned and equipped with necessary paperwork, diagnostic results (X-rays), and required co-pays prior to departure.
  • Develops the forms, templates, and Standard Operating Procedures (SOPs) utilized by all agency staff for medical data collection and appointment preparation.
  • Monitors the handling of medical data by Medical Runners and residential staff.
  • Manages complex billing and insurance hurdles beyond the scope of general staff; identifies and escalates personnel performance failures to the formal Supervisor.
  • Coordinates with medical vendors to ensure resident orders and Durable Medical Equipment (DME) are adequately stocked, collaborating with home-based staff to oversee delivery and inventory monitoring.
  • Assists to assigned research projects in health services quality improvement projects.
  • Safekeeping of Medicaid, Medicare and other insurance cards.
  • Assists in the health services department’s training and in-services.
  • Assist in preparing for annual recertification of the Health Department surveys
  • Serves as the HIPAA expert/coordinator
  • Infection control and controlled substances data tracking compliance in accordance with the governing rules and regulations of the Federal and State requirements.
