About The Position

This position is within the Child and Family Division and is responsible for maintaining health records, processing release of information requests, conducting quantitative analysis of legal health records, and scanning health records into the electronic system. The role requires adherence to federal regulations, HIPAA, Joint Commission standards, and company procedures to ensure the confidentiality, accuracy, and completeness of client health information.

Requirements

  • High school diploma or GED.
  • One-to-two years of experience in an office setting performing clerical administrative tasks.
  • Working knowledge of Microsoft Office Suite.
  • Strong organizational skills.
  • Strong interpersonal skills.
  • Strong oral and written communication skills.
  • Attention to detail.
  • Ability to multitask.

Responsibilities

  • Maintain the electronic health record system and ensure documentation meets legal and accreditation standards.
  • Ensure access to complete client health records by managing record location, retention, and transfer.
  • Protect the security and privacy of electronic and paper health records.
  • Compile and maintain existing paper and electronic health records for accurate client care documentation.
  • Maintain paper records according to filing and archiving procedures.
  • Safeguard client privacy by verifying requestor types and release requirements in accordance with HIPAA and ROI guidelines.
  • Fulfill release of information requests by locating and retrieving electronic and paper PHI.
  • Reproduce requested health information within established timeframes using various technologies.
  • Interpret and respond to requests for health information from clients, staff, law firms, insurance companies, and government agencies.
  • Generate cover letters, pre-payment notices, and invoices as necessary.
  • Conduct quantitative analysis of legal health records for completeness, accuracy, and compliance.
  • Maintain PC tracking systems and generate reports to monitor health record completeness.
  • Identify, prepare, and scan documentation into the electronic record.
  • Perform accuracy and quality checks on scanned items.
