About The Position

This role is within the Child and Family Division and focuses on maintaining health records, managing the release of information, performing quantitative analysis of legal health records, and scanning health records into the electronic system. The specialist will ensure compliance with federal regulations, HIPAA, and Joint Commission standards while maintaining the confidentiality and accuracy of client health information in both electronic and paper formats.

Requirements

  • High school diploma or GED.
  • One-to-two years’ experience working in an office setting and performing various clerical administrative tasks.
  • Working knowledge of Microsoft Office Suite.
  • Strong organizational and interpersonal skills.
  • Strong oral and written communication skills.
  • Attention to detail.
  • Ability to multitask.

Responsibilities

  • Maintain the electronic health record system and ensure documentation meets legal and accreditation standards.
  • Manage the security and privacy of electronic and paper medical records, adhering to Federal, HIPAA, Joint Commission regulations, and SCS procedure.
  • Compile and maintain paper and electronic health records for accurate documentation and timely client care.
  • Safeguard client privacy by verifying requestor types and release requirements according to HIPAA and ROI guidelines.
  • Fulfill requests for release of information by locating and retrieving client PHI in both electronic and paper formats.
  • Reproduce requested health information using various technologies (photocopiers, scanners, facsimiles) within established timeframes.
  • Interpret and respond to requests for health information from clients, staff, law firms, insurance companies, and government agencies via email, phone, facsimile, and face-to-face communication.
  • Generate cover letters, pre-payment notices, and invoices as necessary for release of information requests.
  • Conduct quantitative analysis of legal health records for completeness, accuracy, and compliance with regulations, standards, and SCS procedure.
  • Maintain PC tracking systems and generate electronic reports to monitor the completeness of the legal health record.
  • Accurately identify, prepare, and scan documentation into the electronic record.
  • Perform accuracy and quality checks on scanned items before submitting them to the electronic health record.
