About The Position

The Health Information Specialist, under the supervision of the Manager of Health Information Management or designee, performs clerical and technical functions within the HIM department. This role is responsible for maintaining the integrity, accuracy, and confidentiality of patient health records within the Electronic Health Record (EHR) system in compliance with HIPAA, federal and state regulations, and organizational policies. Responsibilities include, but are not limited to, document processing, scanning, indexing, and release of information.

Requirements

  • High school diploma or equivalent.
  • Minimum of six (6) months of experience in a healthcare or medical office setting.
  • Strong verbal and written communication skills.
  • Ability to handle confidential information with discretion.
  • Proficiency in computer systems, including Microsoft Office (Outlook, Word, Excel) and virtual platforms (e.g., Zoom & Teams).
  • Strong attention to detail and organizational skills.
  • Ability to manage multiple tasks and adapt in a fast-paced environment with frequent interruptions.
  • Ability to accurately review and validate documentation for completeness and compliance.

Nice To Haves

  • Previous experience in Health Information Management or a related healthcare field.

Responsibilities

  • Process requests for medical records and patient information from internal and external sources (fax, phone, mail, and electronic portals) in accordance with HIPAA, legal requirements, and organizational policies.
  • Perform scanning, indexing, and quality review of patient records to ensure accuracy and completeness in the EHR.
  • Maintain, retrieve, and archive electronic health records while ensuring data integrity and confidentiality.
  • Manage Release of Information (ROI) requests, including validating authorizations and ensuring compliant disclosure of protected health information (PHI).
  • Accurately enter and update patient information in the EHR in a timely manner.
  • Communicate effectively with staff, providers, patients, and external partners to support continuity of care and customer service excellence.
  • Maintain consistent attendance and punctuality, reporting to work prepared to perform assigned duties.
  • Adhere to organizational policies, safety standards, and regulatory requirements.
  • Participate in departmental meetings, training, and quality improvement initiatives.
  • Maintain a clean, organized, and secure work environment.
  • Provide general clerical and administrative support to the HIM department as assigned.
