Health Information Management (HIM) Secretary

About The Position

This role is responsible for maintaining the inventory and issuing of office supplies, processing sensitive and confidential patient records, and interacting with requestors to identify medical records needed for patient care, review, billing, or release of information. The position handles requests and inquiries for patient health information received via various channels, distributes mail, and assists with the maintenance of a deficiency list. Additionally, the role involves complying with and submitting birth registrations, scanning and indexing documents, and adhering to all required safety training programs and hospital exposure control plans. The HIM Secretary must demonstrate respect for all individuals and promote effective working relationships within the department and the organization.

Requirements

  • Complete annual education requirements.
  • Maintain patient confidentiality at all times.
  • Report to work on time and as scheduled.
  • Wear identification while on duty.
  • Maintain regulatory requirements, including all state, federal and local regulations.
  • Represent the organization in a positive and professional manner at all times.
  • Comply with all organizational policies.

  • Attend regular staff meetings and in-services.
  • Associates degree in secretarial science or equivalent education/experience preferred.
  • Three to five years of progressively responsible secretarial experience in a medical record department or healthcare facility preferred.
  • Good typing skills.
  • Familiarity with medical terminology.
  • Ability to work under pressure.
  • Ability to work independently.
  • Ability to work with confidential information.

Responsibilities

  • Maintains inventory and monitors issuing of office supplies.
  • Maintains and processes sensitive/confidential patient records.
  • Interacts with requestors to identify medical records needed for patient care, review, billing or release of information.
  • Handles requests and inquiries for patient health information whether received via mail, fax, phone or in-person.
  • Picks up mail daily and distributes as necessary.
  • Assists with maintenance of deficiency list for facility as directed by supervisor.
  • Complies and submits birth registrations as required by the State of Iowa.
  • Scans documents and indexes appropriately.
  • Attends all required Safety Training programs and can describe his/her responsibilities related to general safety, department/service safety, specific job-related hazards.
  • Follows the Hospital Exposure Control Plans/Bloodborne and Airborne Pathogens.
  • Demonstrates respect and regard for the dignity of all patients, families, visitors and fellow employees to ensure a professional, responsible and courteous environment.
  • Promotes effective working relations and works effectively as part of a department/unit team inter- and intra- departmentally to facilitate the department’s/unit’s ability to meet its goals and objectives.
