The Health Information Coordinator collaborates with clinical staff, administrative personnel, and external agencies to ensure high standards of data accuracy, confidentiality, and accessibility. The Health Information Coordinator is responsible for overseeing the management, organization, and integrity of patient health information within the organization. This role involves ensuring compliance with legal, regulatory, and organizational policies. This includes, but is not limited to, answering phones, assisting customers with inquiries and requests for records, and releasing patient information upon valid request.

Requirements

  • Ability to understand and become knowledgeable of release of information standards, policies and procedures, and HIPAA regulations, and to complete work in compliance of these and other standards
  • Must be capable of multitasking effectively by managing emails, team chats, and Epic in-basket messages while maintaining a high level of attention to detail

  • Maintain confidentiality of all Patients/Clients and Patient/Client correspondence
  • Proficiently operate the agency's Electronic Health Record (EHR) system (Epic), Document Management System (OnBase), Greenway, word processing applications, and related software and ability to seamlessly toggle between multiple systems, including Intergy and Epic
  • Communicate effectively with all levels of individuals, both internally and externally
  • Answer multi-line phones in a professional manner
  • Medical terminology proficiency: Ability to read and comprehend simple health care terminology
  • Administrative experience in an office setting
  • Previous release of information, Electronic Health Records (EHR) or other related experience in a healthcare environment

Responsibilities

  • Ensure timely updates of medical records within the Epic Electronic Health Record (EHR) system
  • Leverage the OnBase Document Management System to efficiently and accurately index medical records
  • Utilize the OCHIN scanning application to barcode all documents for manual scanning, incorporating QR codes for imaging and employing OCR technology/Smart filer for other necessary scanning tasks
  • Manage all administrative and clerical functions for the HIM department
  • Monitor and route medical records, results, and pharmacy requests to providers from incoming fax queue
  • Continuously monitor fax lines to promptly identify and address urgent documents as they arrive, ensuring timely handling of critical information
  • Coordinate with Riverside County CMR supporting documentation
  • Perform daily pickups from the clinic to coordinate and organize all loose documents for scanning, preparing them for upload to patient charts
  • Request records from external organizations in response to Epic in-basket messages received from clinic staff
  • Maintain open communication with the manager regarding all issues and concerns, and actively participate in departmental team huddles, check-ins, and quarterly HIM rounding.
