About The Position

This individual is responsible for maintaining accurate information in the clinical record utilizing the electronic health record system (EHR). Assures implementation of health privacy laws and regulations while responding to external and internal requests for information. Responsible for answering phone calls and addressing record submission needs to support patient care. Must be familiar with medical terminology and have excellent computer skills.

Requirements

  • High school diploma or GED required
  • Background and/or courses taken in in secretarial support and/or business, keyboarding, bookkeeping, office machines operation and office procedures
  • Previous experience in a medical records department or previous office or customer service experience
  • Ability to type 45 words per minute.
  • Knowledge of computers and data entry
  • Familiar with medical terminology

Responsibilities

  • Maintains the confidentiality/rights of all patients and their care information.
  • Answers the telephone with a positive and professional tone of voice and directs or resolves the call appropriately in order to ensure each call is handled efficiently.
  • Maintains current and accurate records through use of computers and/or other documentation in accordance with company standards and federal, state, and local standards, guidelines, and regulations.
  • Files documents and patient records in a timely manner and in appropriate locations by following established processes to ensure an efficient system of document retrieval and storage.
  • Assists to manage, maintain, and update the electronic clinical record.
  • Ensure established policies and procedures for medical records maintenance and security are followed by all personnel.
  • Supports patient care by retrieving, copying, and sending appropriate documents by mail, fax, or electronic copy within 48 hours of valid request to referring physicians, patients, and other requestors.
  • Interacts with management, physicians, and staff by obtaining and communicating essential data and assisting other team members to coordinate efficient transactions of patient related documents.
  • Assists in the management of the eFax system by distributing incoming faxes.
  • Ensures that work area(s) and equipment are maintained in a clean, sanitary, and safe manner.
  • Attends all-employee and departmental meetings and in-service training as scheduled or as directed.
  • Performs other duties as assigned.
