About The Position

This is a limited term employment opportunity lasting 12 weeks or 3 months, from the beginning of June through the end of August. The position is responsible for providing customer service regarding patient chart requests and offering technical and administrative support for obtaining, maintaining, and releasing patient health records. The role involves communicating with internal and external customers, assisting staff with HIM-related questions, processing documentation, scanning and indexing into the EHR, maintaining knowledge of HIPAA, e-faxing physician orders, monitoring EHR for deficiencies, and assisting with patient chart audits. Other duties may include overseeing HIM volunteers and participating in the design and implementation of health information management practices.

Requirements

  • High school diploma or GED required.
  • Two years’ administrative and/or customer service experience in a healthcare setting.
  • Ability to develop, maintain, and apply knowledge of hospice and end of life process.
  • Ability to maintain professional boundaries with patients, families and co-workers.
  • Knowledge of medical terminology.
  • Ability to alpha/numeric sort and file.
  • Beginning Microsoft Office Suite skills.
  • Strong keyboarding skills.
  • Intermediate electronic health records skills.
  • Ability to work effectively and cooperatively with others.
  • Ability to communicate effectively verbally and in writing.
  • Ability to be flexible in time and task to meet organizational needs.
  • Ability to maintain confidentiality about patients, families, caregivers, staff, donors, and organizational intellectual property.
  • Ability to use proper body mechanics and standard precautions.

Responsibilities

  • Provide customer service regarding patient chart requests.
  • Provide technical and administrative support related to obtaining, maintaining, and releasing patient health records.
  • Communicate via phone, fax, and email with internal and external customers.
  • Assist staff with HIM questions, issues or requests related to the patient chart.
  • Prepare, scan and index documents into the electronic health record (EHR).
  • Maintain in-depth working knowledge of HIPAA requirements and related Agrace policies and procedures.
  • E-fax physician orders for signature.
  • Enter data into EHR, scan or file returned documentation.
  • Monitor EHR for missing forms and other objective deficiencies.
  • Follow up with staff and clinical leadership to resolve identified issues.
  • Assist with patient chart audits at admission, discharge and/or death.
  • Oversee the work of HIM volunteers.
  • Participate in the design and implementation of health information management practices and protocols.
  • Participate in internal work groups, meetings and committees relative to position responsibilities.
