About The Position

The Health Equity & Social Justice Assistant Administrator (HESJ Assistant Administrator) provides assistance with the day-to-day operations of the division, as well as administrative support for related programs and projects. This role supports the advancement of the City’s key health priorities, including creating healthy neighborhoods, housing, education, criminal justice, wealth creation, correcting health inequity, and implementing anti-racist health practices and policies. The Assistant Administrator will support and monitor projects, activities, and engagement with internal and external partners.

Requirements

  • Associates Degree in Business or Public Administration or closely related field preferred.
  • Two years of full-time paid experience in government or private industry office administration required, or any equivalent combination of education, training and experience may substitute for each year of college education lacking.
  • Proficiency in office software (such as Microsoft Office, including Word, Excel and Outlook).
  • Strong organizational, written and verbal communication skills with attention to detail.
  • Working knowledge of key equity, diversity and social justice concepts
  • Understanding of social determinants of health and community health strategies
  • Adept at compiling and tracking program information and data for communication purposes
  • Efficiency in Microsoft Office (Word, Excel, Power Point etc.), as well as other communication and presentation tools, apps and software
  • Coordinating and preparing social media using Canva and Teams

Nice To Haves

  • A Bachelor’s Degree in Public Health, Health Policy, Public Affairs, Public Administration, or related field is required. (Substitution: a combination of other certification or credential and two additional years of full time paid related experience may substitute a Bachelor’s Degree.)

Responsibilities

  • Provides administrative and operational support to assigned department or division.
  • Prepares routine communications including memos, correspondence, emails, reports, and other documents.
  • Performs data entry and assists with compiling and organizing information.
  • Maintains and updates office records, files, and documentation.
  • Assists with coordinating projects, assignments, and departmental activities.
  • Schedules meetings and responds to routine inquiries.
  • Utilizes standard office software and systems to complete assigned tasks.
  • Performs related duties as required.
  • Coordinating and maintaining Division of Health Equity and Social Justice program and activity calendars, timelines and schedules.
  • Preparing materials for meetings and presentations.
  • Maintaining and compiling data for accurate and timely reports and status updates.
  • Maintaining high standards of communication internally and with external partners and stakeholders.
  • Creating appropriate agendas, minutes and deliverables for meetings, trainings and workgroups.
  • Other appropriate duties that are critical to advancing the mission, duties, and responsibilities of the Division of Health Equity and Social Justice and performs other duties as assigned.
