About The Position

Mar Monte Community Clinic is seeking a Health Center Manager to oversee the day-to-day operations of the health center. This full-time role involves leading the team to achieve productivity, financial, patient visit, and customer service goals. The manager will be responsible for strategic planning, staff supervision, performance evaluation, and ensuring high-quality patient care. This position requires strong leadership, communication, and organizational skills, with a focus on financial management, compliance, and community outreach.

Responsibilities

  • Responsible for the day-to-day management of all health center activities.
  • Lead health center efforts to achieve or exceed productivity, financial performance, patient visits, and customer service goals.
  • Develop and execute strategy planning from concept to implementation, using proven systems like staffing models.
  • Supervise center management staff, focusing on effective leadership, communication, and change management.
  • Assess training needs, evaluate staff performance, and implement plans of correction.
  • Ensure adequate staff cross-training in all health center duties.
  • Hold clinical staff accountable to measurable customer service standards and provide coaching and mentoring.
  • Complete non-medical audits and assist with medical audits.
  • Remain current on all FDA-approved contraception, pregnancy options education, STIs, comprehensive sexuality, community resources, medical protocols, administrative procedures, referral procedures, and all Planned Parenthood services and programs.
  • Partner with Licensed Staff leadership in operational decisions to ensure high-quality patient care.
  • Maintain efficient patient care flow by planning and implementing patient and staff scheduling.
  • Ensure communication with the Response Center to adjust schedules for walk-in availability and other appointment changes.
  • Hold staff accountable for data accuracy, productivity, efficient workflow, measuring indicators, and analyzing processes to improve clinic performance.
  • Ensure underperformance of team members is formally addressed with clear and documented performance improvement plans.
  • Implement and ensure compliance with all Risk Management and Quality Assurance practices.
  • Effectively interact with people, develop positive relationships, and communicate tactfully, respectfully, and directly.
  • Ensure compliance with HIPAA and Agency confidentiality policies.
  • Develop and implement an annual center plan and budget.
  • Review and monitor the health center budget and financial statements against the operating budget.
  • Responsible for financial management and compliance of PPMM financial policies for the health center.
  • Accountable for daily reconciliation of deposits and logs, submitting invoices and expense reports, financials, and accounts receivables.
  • Act as a liaison between billing and the health center, providing training and resolving clinic billing questions or problems.
  • Oversee daily charge entry and correction of billing charges and tasks in a timely manner.
  • Supervise inventory, ordering, and control of all medication, supplies, and equipment.
  • Order and ensure accuracy of inventory for medical supplies, contraceptive supplies, and office supplies.
  • Collaborate and ensure successful communication with health center staff regarding policy and protocols, staff development needs, and conduct team meetings.
  • Participate in task forces or committees to create Agency strategic recommendations or decisions.
  • Conduct community outreach, networking, and education, as well as internal and external marketing.
  • Collaborate with HR and Services training team to verify documentation and training for all employees, volunteers, contractors, and students.
  • Hire, retain, terminate, and evaluate all staff in cooperation with the Human Resources Department.
  • Monitor and ensure compliance with PPMM medical protocols and administrative procedures, HIPAA, DHS, CLIA, OSHA, environmental health, Title X, FPACT, Medi-cal, and state pharmacy regulations.
  • Submit audit data and ensure the center meets all agency QA requirements.
  • Perform all direct clinic services as needed.
  • Responsible for proper preparation, storage, and control of the center's patient health records.
  • Perform other duties as assigned.
