About The Position

The Health Center Front Desk Supervisor will provide supervision to the Front Desk team at the Health Center. They will be responsible for supporting the daily productivity goals for all providers, through management of dental and medical schedules. This position modifies and monitors new patients lists as well as current lists to ensure all rescheduling is completed timely. This position is also responsible for multiple tasks associated with day-to-day operations at the Health Center, including but not limited to payroll preparation, purchasing duties, database maintenance, etc. The Health Center Front Desk Supervisor will, in conjunction with other staff be responsible for the handling of telephone calls, coordination of meetings and meeting rooms. The Health Center Front Desk Supervisor will train all clerical Health Center staff in order to ensure all necessary tasks are completed as needed.

Requirements

  • High School diploma/GED is required
  • Must possess excellent word processing, typing, and general office skills.
  • Must be proficient in Microsoft Office (Word, Excel, Outlook).
  • Must be able to read, write and speak the English language.

Nice To Haves

  • Associates Degree in clerical or medical field is preferred.
  • One-year prior experience in a medical or dental setting preferred.
  • Prior experience with electronic health records is preferred.
  • Prior experience scheduling patients is preferred.
  • Bi-lingual abilities preferred.
  • Prior supervisory experience preferred.

Responsibilities

  • Supervise and assist with scheduling of all patients to ensure full productivity expectations for all providers on a daily basis.
  • Supervise all front desk staff, to include responsibilities for hiring, discipline, completing annual performance reviews and assisting with continued development and compliance with expectations.
  • Daily monitoring of cancelations to ensure provider schedules are full. Maintain a list of all cancelations and have the ability to fill openings in schedules as needed.
  • Review weekly schedules and ensure modifications are made to ensure productivity goals and to support Administrative staff needs.
  • Maintain training files for all Providers and other administrative files such as incident reports, unusual occurrences, staff injury accident reports, Peer review and physician profiles and others as directed.
  • Process all new credentialing applications and reappointments, keep tracking system current and updated and maintain credentialing files of current practitioners with clinical privileges. Access the OMIG and OIG websites as required.
  • Ensure appointment and reappointment documents are submitted as per policy.
  • Track documents for expiration (i.e. License renewal, malpractice, etc.), and due dates for reappointments.
  • Process all internal and external audits and reports as directed.
  • Provide administrative support to Director, Assistant Director and other administrative staff as requested. Provide support to Receptionists and Medical Department as needed. Answer telephone and direct calls appropriately.
  • Complete vouchers for all contracted staff and send them to the business office as directed. Conduct all other payroll duties as directed.
