About The Position

The Medical Assistant (MA) serves as the Health Care Coordinator for the Harbor House Program. The MA will provide essential support services for clients with co-occurring disorders in a residential treatment program, working under the direct supervision of the appropriate clinical or medical staff (e.g., Physician, NP, or RN). The position is for fifteen hours per week; scheduled for five hours per day, three days a week. The MA will assist in carrying out the agency’s mission by providing crucial support in the medical oversight and treatment of clients, adhering to the agency’s policies and procedures, and ensuring compliance with all regulations.

Requirements

  • High School Diploma or equivalent.
  • Successful completion of an accredited Medical Assistant training program (or equivalent experience).
  • Collaborative team player with excellent communication skills.
  • Proficiency in computer skills and electronic health record (EHR) systems.

Nice To Haves

  • Experience with clients with mental illness and addiction preferred.
  • Valid Infection Control certification (preferred or required within 30 days of hire).
  • Experience and knowledge of OASAS and OMH program requirements and documentation.

Responsibilities

  • Assisting with organizing and tracking medication inventories and refills, reporting stock issues, and facilitating communication between the client and the prescribing provider.
  • Managing medical records, including filing, scanning, and ensuring all documentation is current and accurate.
  • Scheduling and confirming client medical appointments (in-house and off-site) and coordinating necessary transportation.
  • Facilitating client referrals for required medical testing and tracking the timely collection and filing of results.
  • Following up on post-medical appointments, hospital discharges, and Emergency Room (ER) visits to obtain necessary documentation and discharge instructions.
  • Taking and recording vital signs (blood pressure, temperature, pulse, respiration, weight) as needed for documentation.
  • Assisting with the preparation and delivery of approved health and wellness or educational medical groups for consumers.
  • Reviewing and filing prescribers’ notes, documenting routine admissions notes, and compiling documentation for quarterly medical reviews.
  • Attending all regular staff meetings and communicating any noted client medical issues to the supervisory clinical staff promptly.
