About The Position

EBCAP is hiring a Head Start Site Coordinator, the on-site operational lead who ensures our Head Start and Early Head Start locations run smoothly day-to-day—so educators and family services teams can focus on children and families. This is a full-time, on-site role serving multiple locations in Riverside, Warren, and Newport, RI. The Site Coordinator reports to the Head Start Operations Manager. Strong site operations are the foundation of high-quality early learning. As the Site Coordinator, you’ll be the operational hub—maintaining data integrity, ensuring facilities meet safety and licensing standards, and keeping policies and procedures consistently implemented—so every family experiences a welcoming, well-run program.

Requirements

  • 2+ years of office administration and data entry experience, ideally in early childhood or human services with a strong compliance focus.
  • Valid RI driver’s license and reliable transportation for travel among sites.
  • Proficiency in Microsoft Office and comfort with specialized systems (e.g., ChildPlus, TSG).
  • Strong attention to detail; ability to interpret and implement federal/state regulations.
  • Excellent organization, multi-tasking, and deadline management.
  • Clear written and verbal communication with staff, families, and regulators.
  • Practical problem-solving skills to address operational challenges.

Nice To Haves

  • Experience in Head Start/Early Head Start.
  • Familiarity with Head Start Performance Standards and DCYF licensing.
  • Experience with CQI methods.
  • Bilingual (Spanish or Portuguese).

Responsibilities

  • Manage accurate, timely data entry and monitoring in ChildPlus and Teaching Strategies GOLD (TSG) to ensure alignment with Head Start Performance Standards and agency policies.
  • Audit site workflows and documentation for consistency and compliance.
  • Track daily attendance and follow-up protocols; produce required reports.
  • Document and process Non-Federal In-Kind contributions to meet federal match requirements.
  • Generate CQI (Continuous Quality Improvement) reports to evaluate policy effectiveness and recommend improvements.
  • Ensure full compliance with DCYF (Rhode Island Department of Children, Youth & Families) licensing and RIDE (Rhode Island Department of Education) standards through ongoing monitoring and corrective action.
  • Track staff progress toward the 20-hour annual professional development minimum required by regulators.
  • Manage facility access and security protocols; maintain a safe, policy-aligned environment.
  • Lead and document required emergency drills (fire, evacuation, lockdown).
  • Oversee distribution of classroom newsletters and site communications to keep families informed.
  • Provide secondary support to ERSEA (Eligibility, Recruitment, Selection, Enrollment, Attendance) processes to ensure smooth, policy-aligned enrollment.
  • Promote cross-program referrals to other EBCAP services (e.g., Health Center, Behavioral Health, Family Development) within our integrated model.
  • Participate in in-service trainings and staff meetings to stay current on evolving policies.
  • Provide operational support across locations to ensure consistent procedures program-wide.
