About The Position

Position Overview The Human Capital Coordinator provides administrative support to the Human Capital Business Partner, as well as supports and leads on day-to-day operations and logistics for the team. The successful candidate must possess a keen ability to multi-task and prioritize and must display a high level of critical thinking and emotional intelligence. Interpersonal effectiveness and discretion are key in developing the internal and external relationships necessary for success in the role, as is the desire to provide the Business Partner Team with forward-thinking, comprehensive support in their programming, recruiting, and other initiatives. A noted interest in learning the business of Human Capital and operations (specifically in the financial services) is strongly desired, as the right candidate will have the opportunity to involve his/herself in a variety of critical HC projects. Given the entrepreneurial culture of the firm, this individual must be prepared to “roll up their sleeves” for a variety of tasks across all levels of the Business Partner Team’s scope and reach.

Requirements

  • 5-7 years administrative/assistant experience; Human Capital or Financial Services experience preferred but not a must
  • Desire to outfit senior team members with administrative underpinning necessary for success
  • Strong and demonstrated ability to multi-tasking and prioritize
  • High level of discretion required
  • Analytical and quantitative orientation, including strong working proficiency with Microsoft Office Suite
  • Capable of engaging a diverse set of stakeholders and gaining their trust
  • Strong verbal and written communication skills
  • High trust and integrity – naturally engenders trust; can be counted on to do the right thing
  • Effective interpersonal, organizational and follow up skills
  • Highest attention to detail; a self-starter
  • Entrepreneurial mindset
  • Effective and collaborative team player, flexibility is very important
  • A “doer” – someone who multi-tasks smoothly in a high-pressure environment and who does not require a lot of oversight

  • Previous event planning and operational experience is helpful but not essential

Responsibilities

  • Provide the HC Business Partner team with proactive and complete administrative support, including but not limited to; answering phones, calendaring, agenda preparation, travel planning (domestic and international), and expense reconciliation
  • Act as point-of-contact for the Business Partner team’s recruiting efforts, annual employee lifecycle processes, and general day-to-day business, ,
  • Act as key user of Workday, Apollo’s internal employee database system; input new hires, terminations, I-9 verifications, employee biographies, report generation, etc., as requested
  • Draft a variety of HC written and visual material, including but not limited to emails, onboarding plans, offer letters, transfer letters, PowerPoint presentations, and Excel reports
  • Coordinate a variety of firm-wide events including global associate orientation, partnering with larger HC team to execute and ensure positive stakeholder feedback
  • Flex to the cyclical needs of the group, including assisting in the administration of promotion processes, campus visits, Private Equity Recruiting, and recruiting super days as they arise
  • Liaise with firm-wide reception and administrative pool, recruiters, external vendors and various Corporate Services teams as needed, ensuring that lines of communication are kept open
  • Other duties and ad-hoc projects as assigned by the Business Partner Team
