About The Position

The Guidance Secretary ensures smooth and efficient operations within the guidance department and provides support to the guidance counselors. This role involves managing daily office routines, organizing data, preparing written materials, maintaining filing systems, and handling correspondence. The secretary is also responsible for tasks related to guidance services, completing required reports, participating in meetings, and managing office supplies.

Requirements

  • High school diploma minimum (prefer technology school training)
  • Excellent verbal and written communication skills
  • Successful experience with bookkeeping methods
  • Knowledge and use of computer applications (i.e. Microsoft Office Suite applications, etc.)
  • Knowledge and use of common office equipment and machines
  • Excellent interpersonal skills
  • Must possess and utilize excellent team-building skills
  • Must accept delegated responsibilities willingly
  • Must be able to work under occasional stress
  • Must demonstrate a high level of initiative in job performance

Responsibilities

  • Performs usual office routines
  • Obtains, gathers, and organizes pertinent data as needed and puts it into a usable form
  • Prepares written materials for the purpose of documenting activities and conveying information
  • Maintains a regular filing system and processes incoming correspondence as instructed
  • Places receive and direct telephone calls, faxed documents, and electronic (e-mail) messages appropriately
  • Performs major tasks associated with guidance
  • Completes and files necessary reports and documents as required
  • Participates in meetings, workshops, and and seminars as assigned for the purpose of conveying and/or gathering information
  • Orders and maintains supplies as needed
  • Any other duties as assigned
