About The Position

This role at Rockbridge Alum Springs focuses on coordinating the guest experience and operational aspects of the camp. The coordinator will be responsible for managing communications with incoming guest groups, ensuring their needs are met, and liaising between guest groups and various camp departments. A key aspect of the role involves understanding and facilitating interdepartmental relations to provide excellent service. The position requires a strong understanding of all camping operations, including Food Service, Housekeeping, Administration, Maintenance, and Guest Services. The coordinator will also serve as a liaison for staff utilizing the facility during the school year and will research, develop, and implement specific projects as assigned. A core component of the role involves embodying Young Life's relational ministry, conveying Christ-like hospitality, and representing the organization positively within the community. This includes working with and ministering to volunteer high school and college-age young people.

  • Able to function in a healthy manner where relationships are transient in nature.
  • Able to communicate a sense of warmth, hospitality, and concern for all staff and users of the property.
  • Able to relate to all camping staff in a professional manner that enhances the total flow of camp operation.
  • Able to respond to urgent and unscheduled needs of guest groups.
  • Staff must be able to convey a sense of Christ-like hospitality and concern for guests and staff.
  • Responding to the unexpected needs of a guest in a prompt and professional manner is important.
  • All staff members are expected to represent Young Life positively and professionally within the community and be able to work with and minister to the volunteer high school and college-age young people who attend our camp.
  • Profess a belief in Jesus Christ as their personal Savior and Lord.
  • Subscribe to the statements and policies required of all Young Life staff, including the Young Life Statement of Faith.
  • Be ready, willing, and able to fulfill ministry functions as may be required by the organization.
  • Refrain from conduct and statements that detract from the biblical standards taught and supported by Young Life.
  • Abide by all policies and practices of Young Life including, without limitation, those related to religious belief or ministry activities.

Nice To Haves

  • A four-year college degree preferred.
  • Training in hospitality preferred.

Responsibilities

  • Gather requests for facilities and services, communicating changes and addressing concerns for incoming guest groups, and communicating this information to different departments well in advance of arrival.
  • Share host responsibilities with the guest services team.
  • Develop and maintain all guest services materials that are part of the communication process with guest groups.
  • Cultivate and maintain a constant open line of communication with Young Life field staff and non-Young Life guest groups regarding their use of and comments about the property.
  • Understand interdepartmental relations as related to service for the guest group.
  • Possess familiarity with all aspects of the camping operations (e.g., Food Service, Housekeeping, Administration, Maintenance, and Guest Services).
  • Serve as the liaison between the property and the various assigned staff who will make use of the facility during the school year (e.g., camp director, program team, etc.).
  • Research, develop, and implement specific projects as assigned by the guest services coordinator.
  • Answer phone calls and emails and direct inquiries to appropriate staff/department.
  • Give tours of camp to contracted groups, drop-in guests, prospective guests, etc.
  • Manage guest experience surveys: sending, analyzing, and sharing data with camp and divisional staff teams.
  • Create and send non-nationally managed guest group contracts (GSI).
  • Partner with Camp Services on YLCC campaigns for non-nationally managed camp events.
  • Create, maintain, and update Group Documents for RAS staff use.
  • Lead a weekly “Weekend meeting” for staff that shares information about groups multiple weeks in advance.
  • Serve as a local resource for camp staff for training in YLCC.
  • Host mid-week Young Life Events: Regional Staff Retreats, Ateam Training, National Camping trainings, etc.
  • Update local websites and pages with current information.
  • Work with creative services when necessary.
  • Create and manage all Trip leader communications for Summer Weeks (Emails, Trip Leader Website, Cognito Forms).
  • Train Head Leaders on and facilitate Day 1 arrival for each camp week.
  • Send out TLO email each summer camp week.
  • Build and maintain monthly FS Reports.
  • Perform Bank Runs, Deposit drop-offs, and Change Requests.
