The Group Experience Coordinator is an energetic, organized, and customer-focused team player responsible for coordinating all logistics related to the museum’s birthday parties and field trip group visit experiences. This includes scheduling, correspondence, and clear communication with parents, educators, and museum staff. The coordinator manages all aspects of weekday field trips—welcoming groups upon arrival, providing orientations, facilitating rotations, and serving as the on-site liaison between guests and museum staff. On weekends, the Coordinator leads the birthday experience, overseeing check-in, coordinating communication and payments, and working with catering and party hosts to ensure every child has an extraordinary celebration at the Louisiana Children’s Museum.

Requirements

  • High school diploma or equivalent required.
  • Minimum 2 years of customer service experience.
  • Minimum 1 year of database management experience.
  • Minimum 1 year of experience in event coordination, planning, or hospitality.
  • Minimum 1 year of experience working with children and/or families.
  • Strong interpersonal, communication, time-management, and organizational skills.
  • Proven problem-solving and decision-making abilities.
  • Proficient in Microsoft Office 365 Suite.
  • Must be available to work weekends and after-hours events.

Responsibilities

  • Promote and uphold the culture and brand of LCM.
  • Project a positive image of the organization to guests, employees, volunteers, and the community.
  • Manage all reservation requests and inquiries for birthday parties and field trips.
  • Meet sales goals through proactive customer engagement for bookings and memberships.
  • Provide exceptional customer service throughout the booking process and for membership renewals.
  • Coordinate with the Visitor Services team to ensure all booking documentation is received before group arrival.
  • Draft and send all pre- and post-visit communication promptly and professionally.
  • Ensure all groups and parties understand and comply with LCM reservation policies.
  • Problem-solve and resolve customer service issues efficiently and professionally.
  • Develop and manage the LCM Birthday Club, including pulling contact lists and sending monthly reminders.
  • Collaborate with Acorn Dickie Brennan’s staff, the Visitor Services Manager, and Birthday Hosts to manage inventory, catering orders, and supply needs.
  • Train, coach, and support birthday hosts; provide detailed schedules and event specifics.
  • Greet families and groups upon arrival, escort them to their celebration spaces, and introduce them to staff.
  • Prepare and maintain Celebration Rooms, ensuring cleanliness, organization, and supply readiness.
  • Assist with set-up and clean-up of birthday and field trip spaces, as well as museum exhibits.
  • Serve as a Birthday Host or Play Facilitator when needed.
  • Track and report birthday, field trip, and membership statistics.
  • Collaborate across departments to ensure seamless guest experiences.
  • Assist with Camps as needed.
  • Perform other duties as assigned.
