About The Position

Nscale is seeking a highly organized and proactive Group Executive Assistant to provide administrative and operational support across the SVP’s wider leadership team. This is a group-support role and does not provide dedicated support to an individual executive. The Group Executive Assistant will report to the Executive Assistant to the SVP, Global Data Center Programs & NA Delivery. The role sits within the SVP’s organization and will be onboarded, trained, and guided by the Executive Assistant.

Requirements

  • 3+ years of experience in an administrative, team assistant, coordinator, or executive-support role in a fast-paced environment.
  • Exceptional organizational skills and strong attention to detail.
  • Proven ability to manage multiple priorities, schedules, and deadlines with a high level of accuracy.
  • Experience coordinating complex meetings and domestic and international travel.
  • Strong written and verbal communication skills; professional, approachable, and responsive.
  • Sound judgment and discretion when handling confidential or sensitive information.
  • Adaptable, resourceful, and calm under pressure when priorities change.
  • Advanced proficiency in Google Workspace.

Nice To Haves

  • Experience in a start-up or scale-up environment is a plus.

Responsibilities

  • Coordinate complex schedules and meetings across time zones for the leadership team, including meeting changes, logistics, and routine communications.
  • Track team action items and routine follow-ups from leadership meetings, helping to ensure priorities and deliverables remain on track.
  • Assist with agendas and preparation of materials for operational reviews, team meetings, and cross-functional sessions.
  • Arrange domestic and international travel for the leadership team, including visas, itineraries, accommodations, ground transportation, and expense coordination.
  • Draft, edit, format, and distribute correspondence, presentations, reports, trackers, and other team documentation.
  • Assist with leadership offsites, operational events, site visits, and cross-functional initiatives led by the team.
  • Process expense reports and assist with purchase requests, invoice coordination, and basic budget tracking as required.
  • Anticipate administrative and logistical needs, resolve routine issues proactively, and create an organized environment that enables the leadership team to focus on its priorities.
  • Work closely with the Executive Assistant and other EAs on shared coverage, coordination, and team projects.
