About The Position

We are seeking an experienced, organized, and collaborative Group Administrator to join the Sensor Engineering and Phenomenology Group (A2A), a team of scientists and engineers developing next-generation Advanced Surface Navy sensors and land-based Cruise Missile Defense sensor networks. As a trusted operational partner, you will play a vital role in enabling the success of your team by ensuring the group's day-to-day operations run efficiently. From coordinating travel and managing security responsibilities to supporting recruiting, onboarding, and workplace operations, you'll help create an environment where staff can focus on solving some of the nation's most challenging defense problems. Requirements

  • Hold an Associates degree or higher in any field or equivalent with 2 or more years administrative experience; or hold a high school diploma or equivalent with a minimum of 5 or more years of administrative experience.
  • Skilled in working in a changing environment and maintaining an efficient work flow amidst frequent interruptions.
  • Hold a high level of initiative, dependability, and follow thru.
  • Demonstrate an ability in maintaining a pleasant, inviting office environment where staff feel comfortable to ask questions.
  • Adept at handling sensitive employee information with discretion and tact.
  • Ability to work independently and to prioritize multiple tasks; exercising good judgment in time management and priority setting.
  • Organized, detail-oriented, an excellent communicator, and enjoy taking on new responsibilities.
  • Excellent interpersonal skills (verbal and written) and the ability to interact with staff of all levels as well as representatives of sponsor organizations and vendors.
  • Strong proficiency with handling data spreadsheets in Excel, file creation and editing in Word/PowerPoint, and learning new softwares internal to an organization.
  • Able to acquire a Secret level clearance. If selected, you will be subject to a government security clearance investigation and must meet the requirements for access to classified information. Eligibility requirements include U. S. citizenship.

Responsibilities

  • Provide comprehensive administrative and operational support to approximately 50 staff members by coordinating administrative processes including purchase requisitions, travel authorizations, expense reports, clearance requests, shipping authorizations, and other business documentation.
  • Organize, maintain, and track electronic records related to travel, training, purchases, and other group activities.
  • Coordinate domestic and international travel arrangements, including required security clearances.
  • Prepare, process, file, distribute, ship, and retain classified and unclassified documents.
  • Schedule conference rooms, coordinate meeting logistics, and arrange catering as needed.
  • Plan and coordinate office space assignments, furniture requests, and general workplace logistics in partnership with Branch Administration.
  • Support group meetings, morale events, and special functions while assisting with overhead and morale fund tracking.
  • Provide administrative support across the Branch as operational needs require.
  • Act as the primary liaison between the group and security organizations by attending required training, communicating security updates, and supporting staff with security-related needs.
  • Maintain security resources, classification guides, and classified records while developing and improving processes that enhance security operations.
  • Support classified facility operations, including visitor escorts, maintaining secure workspaces, monitoring PDS installations, and serving as a Trusted Agent, if needed.
  • Collaborate with APL and AMDS security representatives to prepare for security inspections and ensure ongoing compliance.
  • Coordinate interview logistics, candidate communications, and hiring documentation in partnership with Talent Services and group leadership.
  • Prepare workspaces, coordinate computer and furniture setup, and ensure new employees have the resources needed for a successful first day.
  • Assist with onboarding activities and help new staff transition smoothly into the organization.
  • Manage group property, supplies, equipment, and common workspaces while monitoring computing lifecycle schedules and identifying equipment approaching end-of-life.
  • Process procurement requests, credit card purchases, shipping authorizations, surplus requests, and office move requests.
  • Support periodic property inventories and maintain an organized, functional office environment.
