About The Position

The Johns Hopkins University Applied Physics Laboratory (APL) is seeking an office administrator to manage, support, and evolve the operations and facilities needs of their Wireless Cyber Capabilities team. This multi-disciplinary team focuses on controlling the wireless communications environment to strengthen national defense. The role involves administrative management for the group, supporting leadership, and ensuring smooth day-to-day operations.

Requirements

  • High school diploma
  • Excellent attention to detail and organization
  • Demonstrated ability to be efficient in a fast-paced environment
  • At least five years of relevant experience in an office administration role
  • Practical experience and deep knowledge of MS Office and editing PDFs
  • Familiarity with, or ability to rapidly learn, management of sensitive personnel information and classified documents
  • Good time management skills with the ability to manage multiple simultaneous requests and prioritize appropriately
  • Ability to work both proactively and independently, and as a teammate
  • Superior interpersonal and communication skills, both written and verbal
  • Ability to obtain a Top Secret level security clearance (requires U.S. citizenship)

Responsibilities

  • Serve as a primary administrative resource for organizational practices, procedures, and operational requirements, ensuring group activities remain coordinated and compliant.
  • Manage day-to-day administrative operations and proactively identify opportunities to improve processes, efficiency, and consistency.
  • Support group leadership in operational planning and strategy by coordinating administrative requirements, identifying needs, and contributing solutions.
  • Coordinate administrative aspects of employee onboarding, offboarding, and transitions, including materials, equipment, workspace, access, and arrival/departure requirements.
  • Maintain accurate personnel and operational information within applicable organizational systems.
  • Coordinate office and workspace requirements, including moves, maintenance, access, equipment, and facility-related needs.
  • Support group morale, engagement, and community-building activities.
  • Manage and coordinate the supervisor’s schedule, including recurring meetings, leadership engagements, and time-sensitive or impromptu requests.
  • Prioritize and deconflict scheduling requirements to support leadership availability and effective use of time.
  • Coordinate meeting logistics, including conference room reservations, scheduling changes, attendee coordination, and other administrative requirements.
  • Provide administrative support for group operations and strategy meetings, including preparation, coordination, documentation, and follow-up as needed.
  • Manage and execute a broad range of administrative requirements supporting group leadership and staff, ensuring tasks are completed accurately and efficiently.
  • Prepare, review, route, distribute, and maintain administrative and technical documentation in accordance with established processes.
  • Coordinate staff travel requirements and reimbursements in accordance with organizational travel policies, serving as a liaison with Travel Accounting when necessary.
  • Manage procurement and lifecycle support for group supplies, computers, hardware, software, phones, furniture, and office equipment, including associated tracking and audit requirements.
  • Maintain group administrative resources, websites, and wikis to ensure information is current, organized, and readily accessible.
  • Coordinate property management activities, including delivery, inventory, maintenance, tracking, and disposition of equipment.
  • Serve as an administrative point of coordination across staff, leadership, and supporting organizations to resolve requirements, obtain information, and keep operational activities moving forward.
  • Perform additional administrative and operational duties as needs arise to support group leadership, staff, and evolving organizational priorities.
