Ground Transportation Specialist

About The Position

Provide comprehensive administrative and operational support related to driver, vehicle, and insurance compliance to ensure adherence to all applicable Canadian federal, provincial, and territorial transportation regulations, as well as internal company policies. Act as a back‑up resource for qualifying prospective company drivers prior to activation in accordance with National Safety Code (NSC) standards, provincial operator requirements, and company onboarding procedures. Perform additional administrative functions related to driver qualification, safety, insurance, and recordkeeping, while modeling the organization’s guiding principles and core values.

Requirements

  • Post‑secondary education in Transportation, Logistics, or Business Administration is considered an asset
  • Minimum 5 years of experience in Transportation safety, insurance, or compliance role within transportation or logistics
  • Strong working knowledge of Canadian transportation regulations, including National Safety Code (NSC) standards and provincial operator requirements (e.g., CVOR or equivalent)
  • Experience supporting driver qualification, onboarding, and compliance recordkeeping
  • Solid understanding of commercial vehicle insurance requirements and claims/incident administration
  • Proficiency with Microsoft Office and experience using web‑based or compliance tracking systems
  • Excellent organizational skills with the ability to manage multiple priorities and meet deadlines
  • Strong analytical and problem‑solving skills with high attention to detail
  • Effective written and verbal communication skills with the ability to interact professionally with drivers, vendors, and internal stakeholders
  • Ability to handle confidential and sensitive information with discretion
  • Self‑motivated team player capable of working independently while following established policies and procedures

Responsibilities

  • Coordinate and expedite insurance requirements to ensure compliance with Canadian transportation regulations and company policy
  • Maintain accurate records for drivers, vehicles, leased equipment, and company assets
  • Monitor and report fleet counts, including drivers, units, trailers, and agents
  • File, track, and manage Certificates of Insurance and related compliance documentation
  • Communicate with insurance providers, external agencies, vendors, and drivers on insurance and compliance matters
  • Review, investigate, and resolve incidents, accidents, claims, and compliance discrepancies
  • Process collision and incident reports and escalate serious events to management
  • Support driver safety initiatives and provide accident‑prevention guidance
  • Maintain compliance databases, reports, and tracking tools
  • Assist with driver qualification and onboarding in accordance with National Safety Code and provincial requirements
  • Maintain driver documentation, abstracts, training records, and certification files
  • Train drivers, field staff, and new employees on safety, insurance, and compliance procedures
  • Review and process vendor invoices; resolve billing and account discrepancies
  • Support accounts payable, vendor onboarding, and contractor data entry
  • Respond to calls, emails, and inquiries; provide administrative support as needed
  • Ensure ongoing compliance with all applicable transportation regulations and internal policies
  • Perform additional administrative and compliance‑related duties as assigned
