About The Position

Hydro One is seeking a Grid Operations Receptionist for a temporary 18-month contract in Barrie. This role involves providing reception services, managing access for employees and visitors, maintaining visitor logs, coordinating with security, handling mail, operating office equipment, and ordering supplies. The receptionist will also be responsible for creating vendor tickets and performing other duties as required. This position is crucial for ensuring smooth operations and security within the assigned locations.

Requirements

  • Knowledge of office principles related to records systems maintenance, receptionist and telephone answering services, courier and mail processing services.
  • Knowledge in the use of a computer, email, and other standard office software applications.
  • Knowledge of English to effectively communicate with others.
  • Completion of Grade XI in a Secondary, Commercial or Technical School, or equivalent level of education.
  • Experience to be familiar with the standards and procedures associated with the materials pertinent to the work.
  • Experience in a clerical setting to gain familiarity with routines and procedures related to typing, reproduction, and clerical services such as conference room & equipment booking, and visitor security procedures.
  • Up to one year of experience is considered necessary.

Responsibilities

  • Provide reception service and assist employees/occupants in the administration, reception, and management of access to assigned locations.
  • Coordinate arrival and departure of visitors, contractors, and deliveries with on-site sponsors and security agents.
  • Create and manage physical building access for new employees in the system.
  • Maintain a daily Visitors log (electronic and hard copy) and a long-range calendar of visitors, contractors, and tour requests.
  • Verify personnel identity and purpose of visit, issue and retrieve building access cards, and initiate site orientation videos as needed.
  • Communicate with Hydro One and/or third-party Security Agents regarding the arrival and departure of visitors, contractors, and deliveries.
  • Receive, open, sort, and distribute mail; prepare outgoing mail and arrange for courier services.
  • Accept deliveries and notify recipients.
  • Use general office equipment such as binding, laminating, or copying machines.
  • Operate Public Announcement (PA) system and fire equipment alarms under the direction of the Shift Control Engineer.
  • Order office supplies and track them in systems.
  • Create vendor tickets or contact vendors for items needing resolution.
