About The Position

Centering Healthcare Institute (“CHI”) is a non-profit organization that collaborates with healthcare providers across all sectors to transform healthcare. Our mission is to champion and advance the evidence-based Centering group model of care to transform how healthcare is practiced and experienced, empowering healthcare providers and patients to improve health outcomes. We empower patients, strengthen patient-provider relationships, and build communities through three main components: health assessment, interactive learning, and community building. We are dedicated to creating a future where the risk of preterm birth, the inequities faced by Black women in pregnancy-related outcomes, and the disparities in early childhood are significantly reduced—ensuring that every child has the potential to enjoy better life chances, social and economic opportunities, and overall well-being. With over two decades of experience as the leading resource for group care, we have developed and sustained the Centering model in nearly 500 practice sites and some of the largest health systems in the world. The Centering Healthcare Institute is recruiting a Grants Writer & Contract Manager (GWCM) to support CHI’s ambitious growth plan and focus on increasing institutional support. Reporting to the Sr. Manager of Philanthropy, the GWCM will be responsible for conducting the full range of activities required to prepare and submit timely, accurate, compelling, polished proposals (including budgets) to foundation, corporate, contract, and government sources. They will work closely with program directors to ensure the smooth development and execution of grant requests for proposals, reports, agreements, and compliance measures.

Requirements

  • 3-5 years of grant writing and reporting experience in a non-profit setting, preferably focused on Health, Birth, or Reproductive Equity
  • Experience managing 3-5 reports and grant submissions per month and over 50 contracts at a time
  • Expertise in contract tracking and contract compliance work
  • Strong written communication skills; demonstrated ability to write clear, structured, articulate, and persuasive proposals and reports
  • A foundational understanding of Data analysis is preferred
  • Attention to detail, strong editing and organization skills
  • Ability to track and meet deadlines
  • Motivated self-starter with the ability to work independently with purpose and accuracy in a fast-paced environment
  • High proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Experience with Salesforce is strongly preferred, and reporting databases such as Power BI are preferred

Responsibilities

  • Support the development and management of the CHI grants management program, including helping to build tools, processes, and infrastructure for grant and reporting processes and cross-collaboration around grant and reporting with different CHI teams
  • Work closely with grants and revenue team members in Accounting around grant allocations for expense and revenue based on grant contracts.
  • Manage the full cycle of grant work at CHI from idea inception through reporting on awarded contracts.
  • Launch and manage a cross-collaborative grants & contracts team, which includes regular meetings to decide on new grants, discuss potential contracts, discuss awarded grant requirements, and onboard team members managing the grants to ensure they know their role within the contract. Work with cross-team members on grant tracking, follow-up, regulations, and reporting.
  • Responsible for tracking programmatic funding needs and grants fundraising strategy
  • Research prospective grant sources (private, corporate, and government) compatible with CHI’s mission, values, and programs in support of the institute’s strategic and program goals and calendaring those prospects into the annual grant strategy
  • Research and track upcoming grant opportunities that CHI qualifies for using several sources
  • Coordinate the development of grant requests by establishing timelines that outline tasks, assignments, and deadlines; meet all deadlines; facilitate timely communications with program leadership; collect grant submission materials from Programs and Finance
  • Draft and edit high-quality, compelling LOIs, grant proposals, grant reports, and acknowledgment letters
  • Collect data and study findings to support grant proposals and reports. Particular attention to checking for completeness against grant instructions and ensuring compliance and regulatory requirements
  • Develop grant templates and master files, collect standard organizational attachments, and develop a range of resource tools for grant submissions
  • Copy, collate, package, and submit final grant materials per grant instructions and within funder deadlines
  • Work within funder online portals and maintain passwords for access
  • Liaise with funders as needed around grant reporting questions and grant submissions
  • Establish and maintain positive and professional working relationships with private grantors, corporate funders, and governmental agencies
  • Engage in donor relations with grant-related funder contacts, track acknowledgments, and execute thank you letters to funders
  • Meet with funders for unawarded grants and collect and track feedback for future submissions and improvement
  • Review, summarize, and track data on grant application outcomes
  • Oversee and track all grant milestones including, but not limited to, proposals in development, proposals submitted to funders, proposals that have been issued or canceled, deliverable deadlines, and awards
  • Support communications around funder acknowledgment and grant announcements via the website, e-newsletters, and social media
  • Work with IT, Programs, and other departments on data collection efforts needed for completing reports and writing grant proposals
  • Maintain a reporting calendar and submit grant and contract proposals in a timely manner.
