About The Position

Join our team as a Grants Support Specialist and support the Institute of Museum and Library Services (IMLS) by providing technical, analytical, and administrative assistance to the Office of Library Services (OLS) and the Office of Museum Services (OMS) across the complete grant lifecycle. You will process grant applications, monitor awards, manage data within the Electronic Grants Management System (eGMS), and prepare reporting and correspondence in accordance with 2 CFR 200 and IMLS procedural guidance, ensuring accurate, timely, and compliant grant administration support from pre-award through closeout. Requirements

  • Bachelor's degree in any field.
  • Minimum two (2) years of experience processing grant applications and monitoring grant awards for a federal government agency pursuant to 2 CFR 200.
  • Six (6) months of hands-on experience using eGMS (Electronic Grants Management System)
  • Highly proficient in Microsoft Office 365, including OneDrive, Excel, and Teams.
  • Highly proficient in Adobe Acrobat Pro; experience working with complex proprietary relational databases.
  • Excellent data entry skills; ability to handle and manipulate Adobe PDFs accurately.
  • Excellent written and spoken English.
  • Knowledge of federal grant-making processes.

Nice To Haves

  • Bachelor's degree in museum studies, library studies, or a discipline in the arts, humanities, or sciences.
  • Museum administration expertise — preferred for museum-focused assignments (OMS programs).
  • MLS degree or library program experience — preferred for library-focused assignments (OLS programs).
  • Tribal eligibility expertise and familiarity with tribal governance requirements — preferred for Native/Tribal program assignments.

Responsibilities

  • Conduct administrative completeness checks, prepare draft eligibility analyses, and enter and validate application data and documentation within eGMS.
  • Recommend peer reviewers, assemble draft panel configurations, and provide panel setup and troubleshooting support.
  • Prepare data, visualizations, funding recommendation spreadsheets, and pre-award budget checks to support federal staff decision-making.
  • Review performance reports, document administrative findings, and prepare draft monitoring recommendations and grantee outreach correspondence.
  • Process administrative personnel change requests and maintain a monitoring log tracking issue status and actions.
  • Manage eGMS data entry, validation, and anomaly identification; prepare internal tracking datasets and reports as requested.
  • Log Grants to States (G2S) reports, update statuses in eGMS, and prepare evaluations and plans for Section 508-compliant web posting.
  • Submit weekly and monthly status reports for each assigned IMLS grant office and ad hoc analyses as requested.
