About The Position

The Grants Specialist supports departments in strengthening grant compliance by configuring grants and related business processes within the Workday system, ensuring accurate and timely reimbursement processing, and supporting grant financial reporting and closeout activities. The Grants Support Specialist performs intermediate professional duties under the general supervision of the Compliance Officer.

Requirements

  • Bachelor's degree in accounting, Finance, Public Administration or related field.
  • A minimum of three (3) years of progressively responsible experience supporting federal or state grant compliance, financial tracking or grant-related fiscal operations.
  • Equivalent combination of education and experience sufficient to successfully perform the essential duties of the position.
  • Must possess and maintain a valid Florida driver’s license and any other endorsements necessary to legally operate vehicles used while assigned to this position.
  • Must possess good interpersonal and communication skills to serve others.
  • Must be able to comprehend, speak and write the English language.
  • Must be able to operate a computer.
  • Working knowledge of federal, state, and local grant compliance requirements.
  • Knowledge of government financial processes and internal control principles.
  • Understanding of generally accepted accounting principles (GAAP).
  • Ability to configure, maintain, and troubleshoot ERP-based financial or grant systems.
  • Ability to analyze and reconcile complex financial and grant-related data.
  • Ability to interpret regulatory requirements and communicate them in clear, practical terms.
  • Strong analytical and problem-solving skills.
  • Ability to manage multiple priorities and meet deadlines with accuracy.

Nice To Haves

  • Master’s degree in accounting, or related field and five (5) years of progressively responsible experience is preferred.
  • Experience with financial systems configuration and internal controls preferred.
  • Experience in government accounting is strongly preferred.
  • Experience using Workday or similar ERP systems in a public sector environment is highly preferred.
  • Professional certification, such as CGMS (Certified Grant Management Specialist) is preferred.

Responsibilities

  • Review and update grant award settings for each grant type based on needs.
  • Review and ensure that each grant award is properly configured and that all required data is entered into the system by the departments.
  • Develop standardized award task list templates for departmental use.
  • Review and ensure proper financial configurations for each grant award.
  • Review grant expenses and approve payment accounting setup allocation.
  • Review and ensure the reimbursement billing process is completed accurately and promptly in the Workday Grant module for each grant award.
  • Review and ensure the departments upload all supporting documents to the Grant module in the Workday ERP System.
  • Reconcile financial data for grants reporting and spend levels.
  • Troubleshoot system issues related to grants and ensure data integrity across modules.
  • Assist Compliance Officer and Departments’ management with overseeing grant compliance with programmatic objectives and financial requirements, including adherence to contract terms, timely and accurate reimbursement requests, and project closeout activities.
  • Work closely with the Departments’ grant staff and Compliance Officer to standardize grant processes, promoting consistency, compliance, and best practices across departments and programs.
  • Work with the Compliance Officer to design and deliver training and technical assistance to departmental staff to strengthen compliance capacity.
  • Provide specialized support related to programmatic, financial, and compliance requirements as assigned.
  • Prepare and present reports on grant compliance status for funding received from various granting agencies.
  • Analyze and monitor grant expenditures and revenues.
  • Communicate results and compliance status to the Compliance Officer.
  • Track and report workflow, program effectiveness, and efficiency in the Workday ERP system grant module to the Compliance Officer on a regular basis.
  • Providing guidance to County staff and sub-recipients on laws, regulations, grant compliance best practices, and program administration.
  • Demonstrates continuous improvement by streamlining processes, reducing turnaround times, and promoting cooperative, high‑quality customer service.
  • Maintains a full-time presence on the job.
  • Performs other duties as assigned.
