About The Position

This is an advanced level paraprofessional budget and grant support position in the Grants Administration Unit (GAU) of the Financial Management Division (FMD). The incumbent works in collaboration with the Operations and Capital Improvement Program Financial Management Units, Programmatic Offices within DPW&T, and leadership to perform a variety of day-to-day responsibilities related to fiscal and grant management. Work is performed with a high level of independent judgement and ability, while also receiving guidance and direct input from the Chief, Financial Management Division (Chief Fiscal Officer).

Requirements

  • Associate’s Degree from an accredited college or university in Accounting, Business/Public Management, Finance, Economics, Quantitative Analyses, or closely related field.
  • One (1) year of experience providing paraprofessional support to an accounting or budget office performing budgetary or financial recordkeeping.
  • Must possess a valid driver’s license.
  • Any equivalent combination of relevant training, education and experience may also be considered.

Nice To Haves

  • Experience with SAP Financial System
  • Experience with grant fiscal tracking, including Federal, State, and private grants.
  • Experience with grant technical activities, including payments, journal entries and revenue deposits.
  • Experience with grant auditing and documentation best practices.

Responsibilities

  • Compile, review, verify, and maintain grant-related fiscal data within automated financial systems.
  • Track budget allocations, expenditures, and spending activity, and perform calculations necessary to respond to fiscal and data requests.
  • Prepare and compile financial data related to grant funds, including reviewing grant billings for completeness and supporting documentation.
  • Prepare budgetary and fiscal reports related to grant, operating, and Capital Improvement Program (CIP) activities.
  • Process journal entries, deposits, budget realignments, and other fiscal transactions associated with agencywide financial needs and grant programs.
  • Provide technical assistance with cost analysis, fiscal allocations, budget preparation, and related financial activities.
  • Summarize budget information and prepare recommendations regarding approval or disapproval of funding requests.
  • Process purchase order and non-purchase order invoices, credit memos, recurring entries, and other applicable fiscal transactions.
  • Maintain the agency’s grant repository, including records associated with Operating and CIP grant programs.
  • Prepare and maintain monthly grant reports and tracking tools related to grant utilization, billings, deliverables, incoming revenue, and outstanding fiscal activity.
  • Maintain accurate and organized grant records, reports, databases, and other financial management documentation.
  • Prepare documentation for grant audits and ensure supporting materials are complete, organized, accessible, and audit ready.
  • Compile grant information and participate in recurring meetings with Program Managers to discuss fiscal transactions, program milestones, deadlines, and grant requirements.
