About The Position

The College of Nursing is seeking a detail-oriented and collaborative Grant Manager to provide comprehensive pre- and post-award management of sponsored projects. This role partners closely with faculty (Principal Investigators) to support the full lifecycle of grants and contracts—from proposal development and submission through financial oversight, compliance, and closeout. This position is responsible for developing and reviewing grant budgets, ensuring adherence to sponsor and University guidelines, and managing complex portfolios of federally and non-federally funded awards. The Grants Manager provides guidance on allowable costs, monitors expenditures, supports post-award activities (e.g., budget revisions and no-cost extensions), and ensures compliance with all applicable regulations and policies. This in person position requires strong analytical, organizational, and communication skills, as well as the ability to manage multiple priorities in a fast-paced environment.

Requirements

  • Bachelor's degree in business, finance, accounting or a related field, or an equivalent combination of education and related experience.
  • Typically, one year experience working with grant/contract budget preparation.
  • Typically, three years of relevant direct experience working with grant and contract administration, including pre and/or post award administration from various federal, state and private funding agencies.
  • Experience developing and managing grant budgets, including interpreting and applying sponsor guidelines and cost principles.
  • Extensive proficiency in computer software applications, including Microsoft Word and Excel.
  • Strong written and verbal communication skills, and interpersonal skills; demonstrated by the ability to effectively transmit, receive, and accurately interpret ideas, information and needs through appropriate communication methods and behaviors to provide excellent customer service and maintain working relationships.
  • Minimum of six months’ experience working with subcontracts and professional service agreements.
  • Demonstrative proficiency with financial and electronic systems used in grant administration (such as One stop e- procurement, e-Buy, e-Vouchers, PReq and PCards)
  • Understanding of State, and Federal rules and regulations related to all aspects of grant management.
  • Demonstrated ability to work independently and collaboratively in a team-based environment.

Nice To Haves

  • Experience submitting, reviewing, and approving change of status transaction forms.
  • Knowledge of UI Workflow Transaction system.
  • Familiarity with University of Iowa systems (e.g., MAUI, Workflow, eBuy, eVoucher, PCard).
  • Knowledge of effort reporting, cost sharing, and salary allocation on sponsored projects.

Responsibilities

  • Grant Exploration and Development
  • Grant Management Pre-Award: Respond to faculty inquiries regarding specific grant opportunities and communicate implications of grant awards, including allowable costs, sponsor's indirect cost reimbursement policy, cost sharing requirements, use of facilities, establish timelines to assure deadlines are met.
  • Direct Principal Investigators (PI’s) to comply with internal and sponsor deadlines and obtain institutional approvals for grant submissions.
  • Develop pre-award budgets for all College of Nursing grant applications collaboratively with (PI’s) and make recommendations regarding economic feasibility based on historical costs.
  • Post-Award Administration/Financial Responsibility: Oversee and manage a large group of externally and internally funded grants and contracts, including forecasting and interpreting funding agency and University guidelines.
  • Responsible for post-award management with a high degree of complexity, including various sub agreements from both federal and non-federal funding sources, ensuring compliance with federal and University cost principles.
  • Work on all phases of post award grant administration for the College of Nursing from grant issuance through grant closeout.
  • Compliance: Ensure compliance with contract/grant terms in accordance with University policies and state, agency specific, and federal regulations.
  • Attend Department Grant Accounting meetings to keep informed of changes in agency or UI protocols.
  • Provide direction and education to PI’s on new University electronic process.
  • Operational/Administrative Support: Provide training to new project directors and assist project directors in interpreting accounting and funding agency regulations and monitor compliance with contract/grant terms in accordance with university policies and state and federal regulations.
  • Recommend and process expense change vouchers and personnel changes of status to ensure grants stay within budget and comply with federal/university grant regulations.
  • Develop and implement procedures to manage and improve department function and purpose.
  • External Communication and Negotiations: Provide extensive contact with sponsored programs, grant accounting and federal and non-federal agencies and provide counsel and assistance to PI’s on policies.
  • Interact with departmental administrators and principal investigators from other departments; interact with Grant Accounting, Division of Sponsored Programs, Accounts Payable, and Program Officers and Grant Management Specialists regarding inquiries about contracts and grants.
  • Leadership/Supervision: Train new faculty on UI and College of Nursing policies and procedures for grant and contract budgets.
