About The Position

The Grant Coordinator is responsible for coordinating the administration of federal, state, local, and private grants to support the mission and strategic goals of Coral Academy of Science Las Vegas (CASLV). This position oversees grant compliance, reporting, budgeting, and documentation while collaborating with school and district leadership to ensure grant-funded programs are implemented effectively and in accordance with all applicable regulations. The Grant Coordinator serves as a key resource for identifying funding opportunities, monitoring grant performance, and supporting successful grant administration throughout the grant lifecycle.

Requirements

  • Associate degree in Business Administration, Public Administration, Accounting, Education, Finance, or a related field, or an equivalent combination of education and progressively responsible experience.
  • Minimum of three (3) years of experience in grant administration, grant coordination, compliance, finance, accounting, or program management.
  • Knowledge of grant administration principles and federal and state grant compliance requirements.
  • Strong organizational, analytical, and project management skills.
  • Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to manage multiple deadlines and prioritize competing responsibilities.

Nice To Haves

  • Bachelor's degree in Business Administration, Public Administration, Accounting, Education, Finance, or a related field.
  • Experience administering grants in a K-12 school district, charter school, or nonprofit organization.
  • Knowledge of federal education grants (Title Programs, IDEA, CSP, etc.).
  • Experience with grant management software and financial reporting systems.
  • Bilingual or multilingual abilities.

Responsibilities

  • Coordinate the administration of federal, state, local, and private grants from award through closeout.
  • Monitor grant activities to ensure compliance with grant agreements, timelines, and funding requirements.
  • Maintain comprehensive grant files, documentation, and supporting records.
  • Develop and maintain grant calendars to ensure timely completion of reports, deliverables, and renewal applications.
  • Assist departments with implementation of grant-funded initiatives.
  • Ensure compliance with federal, state, local, and grantor regulations, including Uniform Guidance and applicable education requirements.
  • Prepare and submit required programmatic and financial reports within established deadlines.
  • Monitor grant expenditures to ensure allowable use of funds.
  • Coordinate grant monitoring visits, audits, and compliance reviews.
  • Maintain accurate records for audits and grant monitoring activities.
  • Collaborate with the Finance Department to develop and monitor grant budgets.
  • Track grant expenditures and budget balances.
  • Review purchase requests and expenditures for grant allowability.
  • Assist with grant budget revisions and amendments.
  • Prepare financial documentation supporting reimbursement requests and grant reporting.
  • Research grant opportunities that align with the organization's strategic priorities.
  • Assist leadership with preparing grant applications and supporting documentation.
  • Coordinate collection of data and information required for grant proposals.
  • Maintain a database of grant opportunities and submission deadlines.
  • Serve as a liaison between funding agencies, school administrators, department leaders, and district staff.
  • Provide guidance to grant managers regarding compliance requirements and grant administration.
  • Conduct training on grant procedures, documentation, and reporting requirements.
  • Foster collaborative relationships that support successful grant implementation.
  • Collect, organize, and analyze program data required for grant reporting.
  • Monitor grant performance measures and outcomes.
  • Prepare reports and presentations for district leadership regarding grant performance.
  • Recommend process improvements to strengthen grant administration and compliance.
  • Maintain confidentiality of financial, student, and organizational information.
  • Participate in professional development related to grant management and compliance.
  • Perform other duties as assigned.
