About The Position

The University of St. Thomas is seeking a Graduate Recruitment Coordinator for its Enrollment Services department. This role is dedicated to fostering early relationships with prospective graduate students through timely and personalized communication. The coordinator will manage communication strategies for individuals who have not yet engaged (Enrollment Prospects) and those who have expressed interest (Inquiries), focusing on nurturing these leads before they reach the application stage. The position involves a seamless handoff to Graduate Recruiters or Assistant Directors as students become application-ready, ensuring a cohesive experience throughout their journey. The Graduate Recruitment Coordinator will report to the Assistant Director of Recruiting & Admissions, oversee top-of-funnel communication, support student workers in outreach campaigns, and ensure communications align with current graduate enrollment trends.

Requirements

  • High School diploma or the equivalent
  • Four years of experience in customer service, sales, admissions, outreach, or a communication-focused role
  • Experience using CRM systems or managing communication workflows

  • Experience with Salesforce, Marketing Cloud, or similar platforms

Responsibilities

  • Serve as the primary first point of contact for early-stage prospective graduate students.
  • Deliver personalized, timely, and accurate information to prospects and inquiries to encourage engagement and funnel progression.
  • Respond to emails, calls, and forms with a student-centered approach and clear next steps.
  • Identify inquiries who are “application-ready” and route them to recruiters promptly.
  • Serve as the main point of contact for in-person meetings and “drop-in” visitors at the Admissions office.
  • Support prospective student recruitment events, information sessions, and other engagement activities as needed.
  • Work with the Assistant Director, Graduate Recruiter, and broader Graduate Admissions team to develop and maintain strategies for call, text, and email outreach for prospects and inquiries, aligning activity with portfolio and institutional enrollment priorities.
  • Create and update call scripts, email templates, and messaging guidelines used by student workers and staff.
  • Serve as the point of contact for student workers when they have questions about outreach content, messaging, or workflows (without formal supervisory responsibilities).
  • Monitor lead behavior, funnel movement, and communication engagement to refine outreach strategies and develop personalized communications.
  • Use Salesforce, Marketing Cloud, Mogli texting, and other systems to track and document all lead communication and engagement.
  • Pull and prepare regular reports on lead volume, lead source, engagement trends, and outreach effectiveness.
  • Monitor lead source performance to help inform marketing investment and outreach strategy.
  • Assist in tracking funnel movement for prospects and inquiries, highlighting areas where nurturing can be improved.
  • Identify data inconsistencies or workflow issues and recommend solutions or escalations.
