About The Position

The College of Computational, Mathematical, and Physical Sciences (CCMPS) at the University of Guelph is seeking a dedicated and organized Graduate Program Specialist to join their centralized team in the Dean’s Office. This role is essential for supporting course-based master's program students (MDS, MCTI, MCLC) and ensuring the smooth day-to-day administrative operation of the graduate programs. The successful candidate will ensure excellent client service for all in-course students in these programs and work closely with the graduate admissions specialists, graduate coordinators, and graduate program assistant staff members from each of the academic units within CCMPS.

Requirements

  • 2 year Community College diploma in business administration or related field.
  • Minimum of 1 year of previous related experience.
  • Strong computer skills, including proficiency in databases, spreadsheets, and word processing software.
  • Excellent organizational skills and time management skills.
  • Ability to multitask and work with frequent interruptions.
  • Customer service skills for working with students and faculty.
  • High level of discretion, tact, and judgment in dealing with confidential matters.

Nice To Haves

  • 3 year or bachelors degree preferred.
  • Knowledge of university policies and procedures related to graduate programs.
  • Knowledge of financial services and awards.

Responsibilities

  • Act as a point of contact for newly accepted students, assisting with general questions and coordinating activities related to incoming graduate students.
  • Organize, process, and track all activities relating to degree requirements, including maintaining accurate records and managing funding reports.
  • Schedule and communicate the results of seminars, course requirements, industry projects, and graduation recommendations.
  • Process final grades and ensure students meet their course requirements.
  • Provide and maintain documentation, including course outlines, schedules, and evaluations.
  • Assist with student recruitment on an overflow basis, responding to program inquiries and maintaining accurate application information.
  • Provide backup support to other staff during absences and assist with event planning and coordination.
  • Maintain supplies and track inventory related to CBM programs.
  • Other duties as assigned.
