About The Position

The Graduate Program Coordinator will provide comprehensive student-facing and administrative support for the Communication Studies Option III master’s and graduate stackable certificates. This role serves as a primary point of contact for students and applicants, ensuring the effective delivery of graduate programs from admissions through graduation.

Requirements

  • Bachelor’s Degree and 5 years’ experience working with college students in an administrative or advising capacity.
  • Strong interpersonal and communication skills, both written and verbal.
  • Strong organizational, time-management, and problem-solving skills.
  • Proficiency with Microsoft Office.
  • Competencies: Decision Making, Critical thinking, Service Excellence.
  • Relevant education and experience may be substituted as appropriate.

Nice To Haves

  • Experience working with graduate student programs.
  • Familiarity with the University of Texas at Austin academic policies.
  • Prior experience with the University of Texas at Austin systems such as DEFINE, Slate, EASI, etc.

Responsibilities

  • Serve as first point of contact for prospective students, hosting regular information sessions and in-person visits.
  • Ensure smooth student life-cycle transitions from prospective to applicant and from applicant to enrollee.
  • Facilitate application review process each semester including application tracking, communication with applicants, and admissions committee coordination.
  • Collaborate with admissions partners across campus.
  • Represent the program at Grad Fair and other recruitment events as needed.
  • Provide student-facing representation of the program including, but not limited to, guidance on degree requirements, registration, tuition, financial aid, graduation, and university policies and resources.
  • Process student requests requiring coordination with other campus partners (Graduate Dean’s office, Texas Global, Veteran and Military Affiliated Services, etc.).
  • Keep students informed of the campus resources for career support, coordinating with those offices as needed.
  • Plan and execute student events such as orientations, end-of-semester celebrations, and graduation receptions.
  • Manage curriculum administration, including course inventory maintenance, catalog updates, annual handbook updates, and other required submissions.
  • Assist Director of Graduate Programs with course scheduling, faculty offer letters, and preparing resources for instructors.
  • Maintain program documentation and accurate records on students and alumni of the program.
  • Coordinate with program staff on tuition bills and collection.
  • Maintain program websites.
  • Other related functions as assigned.
