About The Position

A Graduate Assistant position is available to support the clinical education team within the Physician Assistant Studies Program. This role involves assisting with the management of student clinical experiences, including data entry, research, document preparation, and communication with students, preceptors, and faculty. The assistant will serve as a point of contact for preceptors and students, helping with the coordination of placements and integration of data into program platforms. This position is ideal for an incoming MBA student seeking to gain experience in program coordination and administration.

Requirements

  • Must be an incoming MBA student.
  • Must be registered for a minimum of 6 credits per semester (preferably full time).
  • Must notify other managers if working multiple jobs on campus.
  • May not work more than 20 hours per week combined between all campus jobs during the academic year.
  • May not exceed 980 work hours per calendar year.
  • Must notify all parties involved (B&E Dept. rep and Associate Director of Clinical Education of PA Program) at least by mid-semester when planning to leave at the end of the semester.

Nice To Haves

  • The position is a 1-year (12-month) appointment.
  • The term ends each August and starts each August.
  • New students should be identified to take over in Fall for a full year.
  • The position is paid through the graduate assistantship budget line that Academic Affairs, the Business Office, and Admissions coordinate.
  • The PA program will verify timesheets, and the timesheet will be signed off at Chatham by the Program Director of the PA Program.
  • Recruitment is handled through the Business Department.
  • Selection is handled by the Associate Director of Clinical Education – PA Program) and the Program Director of PA program.
  • Supervision will be directly by the Associate Director of Clinical Education of the PA program.
  • Tracking when positions are filled and become available will be handled by the B&E Dept.
  • Notifying Student Accounts and Financial Aid when positions are filled will be handled by the B&E Dept.

Responsibilities

  • Perform data entry in EXXAT/PRISM clinical management system.
  • Research preceptor licensing and board certification information online, document, and track.
  • Print received faxes including student documents and checking documents for required information.
  • Scan various project documents, save, and track as necessary.
  • Prepare mailings to be sent to clinical sites.
  • Set up incoming student folders and file student documents throughout the year.
  • Assist the clinical assistant in tracking submitted student clinical requirements.
  • Maintain timely communication with students, preceptors, and clinical faculty and staff.
  • Maintain Brightspace course site documents and assignments.
  • Enter data into various Excel spreadsheets accurately.
  • Assist the clinical team with the implementation and management of rotations at affiliated clinical sites.
  • Perform other duties as assigned.
  • Serve as a point of contact for preceptors and students of Chatham's Physician Assistant program.
  • Help with coordination of placements for PA students including integration of student and clinical placement data in the various platforms used by the program.

Benefits

  • 20 hours per week at a rate of $15 per hour.
