About The Position

This position serves as the primary administrator for the Company’s Political Action Committee (PAC), managing membership information, contribution levels, fundraising efforts, and member recognition. It also oversees the intake, processing, allocation, and distribution of all federal and state PAC disbursements, including managing vendor partnerships and preparing ethics filings to ensure timely and compliant reporting. Additionally, the role administers the Company’s Educational Gift Matching Program, evaluating and responding to donation requests and maintaining reporting for charitable contributions. The coordinator is responsible for coordinating volunteer and fundraising events, including the annual employee giving campaign, managing event logistics, and maintaining the volunteer hours portal. This role also involves collecting, analyzing, and reporting on departmental data, including budget reconciliation, and developing reports and presentation materials. A key aspect is assisting with coordination between corporate communications, public affairs, marketing services, and stakeholder engagement teams to ensure message consistency, and developing content for various internal and external platforms. The position supports Salesforce Stakeholder Engagement activities, provides logistical and production support for employee broadcasts, and offers department-wide administrative support requiring confidentiality and discretion, utilizing independent problem-solving skills and maintaining relationships with internal and external partners.

Requirements

  • Bachelor's degree in political science, public relations, communications, journalism, marketing, business administration or a related field and 3 years’ relevant experience; or equivalent.
  • Ability to communicate with internal and/or external customers in order to obtain and/or provide basic types of factual information.
  • Ability to perform addition, subtraction, multiplication and division.
  • Working knowledge of various software applications including word processing, spreadsheets and presentation software to create documents, reports and/or graphics.

Responsibilities

  • Serves as primary administrator of the Company’s Political Action Committee (PAC), maintaining and updating membership information and contribution levels, facilitating fundraising efforts and member recognition, and coordinating lobbyist events.
  • Oversees intake, processing, allocation, and distribution of all federal and state PAC disbursements, managing the vendor partnership supporting these activities, preparing and submitting ethics filings, and assuring timely and compliant reporting.
  • Administers the Company’s Educational Gift Matching Program, receiving, evaluating, and responding to incoming requests for donations, and maintaining reporting and reconciliations to provide an accurate picture of charitable contributions.
  • Coordinates volunteer and fundraising events including the annual employee giving campaign, managing event logistics and planning, and maintaining the volunteer hours portal to support visibility and recognition of employees’ commitment to Fueling Safe & Thriving Communities.
  • Collects, analyzes, and reports on departmental data, including the monthly reconciliation of departmental budgets and expenditures, develops reports, graphics, and presentation materials, assures the accuracy and completeness of data presented, and identifies trends and recommends improvements as needed.
  • Assists with the coordination between corporate communications, public affairs, marketing services, and stakeholder engagement teams to assure message consistency across channels, and develops and formats written and visual content for internal communication platforms, websites, presentations, and community engagement materials under the direction of the Communications Manager.
  • Supports Salesforce Stakeholder Engagement user activities including data entry, reporting, training coordination, and general user support.
  • Provides logistical and production support for quarterly employee broadcasts, including scheduling, content preparation, coordination with vendors, and follow up distribution.
  • Provides department-wide administrative support requiring confidentiality and discretion, exercises independent problem-solving skills to resolve complex issues, and maintains relationships with internal and external partners to facilitate timely response and issue resolution.
