About The Position

Provide project coordination, SharePoint administration/knowledge management, and office administrative management support to ensure OPE office initiatives, information, and day-to-day activities are effectively organized and managed. The position will work with leadership, project leads, and staff across multiple teams and offices to coordinate projects, maintain SharePoint content, track assignments and deliverables, and support routine office operations. The ideal candidate is highly organized, customer-focused, able to manage multiple priorities independently, and capable of identifying and escalating issues requiring management attention. This position supports the Department's top political and career executives to mature the Department's integrated, systems based Performance Management Framework. Our team works directly with all Departmental bureaus and offices to improve program results, agility, and customer service. We lead the management and execution of requirements in the GPRA Modernization Act and White House Office of Management and Budget (OMB) Circular A-11, PREPARATION, SUBMISSION, AND EXECUTION OF THE BUDGET (Part 6, The Federal Performance Framework for Improving Program and Service Delivery) to include organizational strategic planning, annual assessment of organizational strategic objectives, annual reporting of organization performance and progress, and quarterly assessment of high-priority initiatives. We also directly support the Department’s top executive leadership with ad hoc process improvement projects.

Requirements

  • Approximately 7 or more years of experience with business process improvement analysis, performance data analysis, knowledge management, as well as experience in a fast-paced environment that demands highly proactive, team-player behavior.
  • Familiarity with conducting and supporting process improvement, program improvement, or similar management consulting engagements including defining the scope/workplan, developing the analytical methodologies, conducting data gathering and analyses, synthesizing findings, and developing and presenting recommendations to clients that will help an organization implement innovative, feasible strategies that result in increased efficiency and effectiveness, improved customer services, and/or achievement of other management objectives.
  • Experience supporting senior leaders and multiple stakeholders across concurrent projects, programs, or organizational initiatives.
  • Experience coordinating projects, schedules, milestones, action items, deliverables, and management reporting.
  • Experience maintaining Microsoft SharePoint document libraries, lists, metadata, views, permissions, and content.
  • Familiarity with knowledge management, document management, records organization, and information-sharing practices.
  • Experience gathering, organizing, analyzing, and synthesizing information for briefings, reports, dashboards, presentations, or management updates.
  • Experience developing procedures, guidance, templates, reference materials, or other resources supporting consistent organizational processes.
  • Proficiency with Microsoft 365 applications, including Outlook, Teams, Word, Excel, PowerPoint, and SharePoint.
  • Strong organizational, communication, interpersonal, and customer-service skills, with the ability to manage multiple priorities and work effectively across teams and offices.

Nice To Haves

  • Familiarity with Microsoft Planner or similar project/task-management tools.
  • Familiarity with Power Automate, Power Apps, or Power BI.
  • Experience with SharePoint governance, information architecture, content lifecycle management, or site administration.
  • Familiarity with change management, user adoption, or knowledge management practices.
  • Ability to identify and communicate emerging risks, dependencies, competing priorities, and issues requiring management attention.

Responsibilities

  • Prepare project status reports, dashboards, briefings, and other management updates.
  • Coordinate project meetings, including schedules, agendas, supporting materials, meeting notes, decisions, action items, owners, and due dates.
  • Identify scheduling conflicts, overdue assignments, risks, dependencies, and other issues and escalate significant concerns to appropriate project leads or management.
  • Support project leads with planning, documentation, communication, and coordination.
  • Develop and maintain standardized project-management templates, processes, and reporting practices.
  • Maintain and organize content within Microsoft SharePoint sites, document libraries, and lists.
  • Support SharePoint governance, information architecture, and content-management standards, including metadata, content types, views, navigation, naming conventions, and organizational structures.
  • Conduct routine content reviews to identify outdated, duplicate, incorrectly classified, or obsolete information and coordinate updates, archiving, or removal with content owners.
  • Help ensure current and approved documents, procedures, templates, and reference materials are readily available and consistently organized.
  • Develop user guidance, job aids, procedures, and other materials supporting effective SharePoint use and standardized information-management practices.
  • Support ongoing efforts to improve knowledge sharing, information accessibility, content consistency, and user adoption.
  • Schedule and coordinate meetings, appointments, and other office activities and prepare agendas, notes, presentations, and supporting materials.
  • Maintain calendars, schedules, contact and distribution lists, trackers, spreadsheets, SharePoint lists, and other administrative information.
  • Support office purchasing, expense tracking, and related administrative processes.
  • Compile and organize information for reports, presentations, briefings, and management updates.
  • Track office assignments, requests, deadlines, action items, and recurring activities and follow up as needed.
  • Maintain office templates, standard operating procedures, reference materials, and administrative documentation.
  • Coordinate with internal offices and external stakeholders to obtain information, schedule activities, and resolve outstanding requests.
  • Provide general operational and administrative support as assigned.
