Requirements

  • Currently enrolled in a post-secondary program, and will not graduate prior to this co-op role (preference for students enrolled in an official co-op program)
  • Able to work 40 hours per week
  • Able to work in-person from a D2L office
  • Advanced communication, collaboration, and interpersonal skills
  • Excellent communication writing and/or copywriting skills
  • Exceptional organizational skills including multi-tasking and time management
  • High attention to detail
  • Ability to learn quickly, think fast under pressure, and work independently in a fast-paced environment
  • Proficiency with MS Excel and comfortable with learning new systems quickly
  • Creative mindset and stamina to try new things and figure out how to continuously improve

Nice To Haves

  • Experience with planning or coordinating cross-functional events, cross-functional projects, and/or communication writing
  • Familiarity and interest in AI tools (e.g. ChatGBT, Copilot, etc.)

Responsibilities

  • Support and assist the team with event and project coordination, administrative, and logistic duties for key events in the FY26 calendar, including data management, reporting, and enablement.
  • Coordinate and follow up on cross-functional (internal and external) project tasks and actions.
  • Manage email inboxes for events, event briefs, coordinate purchase orders, invoices, contracts, event data/lists, presenter prep and travel support, event system admin support, reporting and KPI tracking, assist with planning/set-up logistics for event activities, review, maintain, and test event tools and platforms, provide day-of event coordination and support, and conduct post-event follow-up.
  • Aid cross-functional event communications and global event calendar upkeep and alignment.
  • Maintain event schedule and event communications schedule and event performance tracking.
  • Coordinate updates/changes and related communications with cross-functional communications leads.
  • Provide awareness and alignment of events and related activities with other internal/external stakeholders.
  • Review and report on post-event surveys.
  • Report and track key event KPIs, and manage and upkeep event reporting data/dashboards.
  • Scrub and reconcile lead lists and coordinate uploads with appropriate teams.
  • Coordinate and follow up on learnings, highlights, post-event content, and reconciliations.
  • Coordinate and track key event invoices, contracts, and spend information.
  • Assist in in-person event venue sourcing and research for RFPs and event locations.
  • Research unique swag, event in a box, and booth/exhibit vendor options and solutions.
  • Research and connect with client-facing teams and SMEs to source speakers and presentations for events.
  • Research event app/marketing tech event solutions.
  • Create grids comparing specific offerings from vendors/venues/tech/speakers and make recommendations.
  • Coordinate sourcing and inventory monitoring of swag/giveaways/assets.
  • Support event promotion and follow-up, enablement asset creation, and task and vendor coordination.
  • Provide copywriting support and coordinate content for website pages, email campaigns, social media, and other digital event promotion, enablement toolkits, and other internal and external communications and digital assets.
  • Coordinate proofreading and reviews of communication/copywriting.
  • Coordinate the creation, updating, and deployment of information updates, graphics, and supporting digital and print assets.
  • Visit websites of key competitors and top events and customer marketing touchpoints and experiences.
  • Capture communications and advertising, customer experiences, website and event structures, tools used, assets provided, engagement strategies, awards, and reviews.
