About The Position

The Global Event Producer is Koala’s global point of oversight for event and experience standards across Australia, the US, the UK and Japan. Reporting to the Global Head of Brand, the role guides how Koala shows up in person through product launches, pop-ups, brand activations, showroom and retail events, media and influencer moments, and internal events. This is a supervisory and advisory position for an experienced event producer. In-market teams and their PR partners often deliver most of an event; the Global Event Producer reviews plans, timelines, creative, and budgets, identifies gaps, and provides guidance. The role supports smaller events run without agency partners and leads the process from brief through bump-out for multi-market and high-priority events. It also establishes the operational systems, safety practices, and documentation that support consistent event delivery as Koala grows.

Requirements

  • At least 7 years of experience producing experiential programs end to end, including launches, activations, pop-ups, and media events.
  • Experience producing events both at an agency and in-house, and working effectively with PR and experiential agencies while holding them accountable.
  • Strong event budget skills, including identifying inflated costs, in-house opportunities, and efficiencies, and presenting recommendations to senior stakeholders.
  • Experience delivering or supporting programs across multiple countries; a global perspective and understanding of differences between markets are required.
  • A consultative approach and ability to influence teams without direct management responsibility, while judging when to advise and when to step in.
  • Strong project management skills, including timelines, milestones, approvals, and run sheets.

Nice To Haves

  • Background as a Senior Producer, Production Manager, or Tour Manager.
  • Hands-on curiosity about AI tools for administration, asset tracking, or feedback.
  • Specific experience with the US market is a focus.

Responsibilities

  • Oversee in-market events and review plans, timelines, milestones, and creative deliveries.
  • Hold market teams, PR firms, and agencies to Koala’s standards for event planning and execution, including clear run sheets, milestones, and timely creative delivery.
  • Address production gaps, such as missing timelines or late suppliers, and advise teams running smaller events without agency support on scope, suppliers, logistics, and budget allocation.
  • Review event budgets, identify inflated costs and potential efficiencies, and recommend work that could be delivered in-house.
  • Set benchmarks and budget allocation guides for common event types, and track forecasts against actual spending across markets.
  • Lead task forces for multi-market and high-priority events, overseeing delivery from brief through bump-out and post-event wrap-up.
  • Coordinate product logistics, including timely bump-in and bump-out.
  • Manage review and approval gates to ensure relevant stakeholders review and approve creative before deadlines.
  • Contribute hands-on creative and production support when needed, including making decisions when plans change.
  • Create and maintain event playbooks, templates, and checklists for briefing, budgeting, run sheets, approvals, and post-event reviews.
  • Maintain event documentation, post-event reviews, and handover processes so program knowledge is retained.
  • Own event safety and compliance, including risk assessments, permits, and WHS obligations in line with the Koala Safety Management System.
  • Measure event outcomes and use findings to inform future events.
