The high level: Reading Partners seeks a highly organized and detail-oriented Gift Processing Associate to provide administrative support in processing Reading Partners' monetary and in-kind donations and pledges by preparing donor receipts, updating our Salesforce database, and submitting donation information to the Accounting department. The Gift Processing Associate will work under the supervision of the National Development Operations Director. This position is part-time, and the Gift Processing Associate will work up to 25 hours per week. This position is remote, and hires (upon start date) should reside within states where Reading Partners operates, which include: California, the District of Columbia, Maryland, Minnesota, New Jersey, New York, Oklahoma, South Carolina, Texas, Washington State, and Virginia.

Requirements

  • 1+ years of experience in development operations or nonprofit operations work
  • Possess strong attention to detail, always meet deadlines, and can manage multiple, simultaneous projects
  • Are self-directed, proactive, and resourceful
  • Have experience working with Salesforce or a similar CRM database
  • Demonstrate a commitment to fostering an inclusive and collaborative work environment.

  • Ability to prove eligibility to work legally in the U.S. and that you are at least 18 years of age.

Responsibilities

  • Ensure timely and accurate data entry of gifts within 2 business days of receipt, and submit tax receipt letters to donors within 2 business days of data entry
  • Provide high-quality customer service to our stakeholders, donors, and regional development staff by responding to emails and calls within 2 business days of receipt.
  • Support the Development Operations Director in training regional staff on gift processing procedures
  • Support regional staff as needed in providing timely and accurate data entry and tax receipts for event gifts
  • Regularly communicate and share via email and/or report ‘gifts in/processed’ out to the broader network
  • Ensure all gifts that come in are accurately logged in Salesforce and are compliant with financial accounting standards
  • Regularly audit gifts entered throughout the Reading Partners network to ensure the highest degree of accuracy
  • Ensure audit compliance by maintaining electronic files of all paperwork related to gifts and updating files on a daily or weekly basis.
  • Work with the Development Operations Director to improve upon existing systems and processes
  • Monitor the donation email inbox to field customer service requests from donors
  • Support all fundraising efforts through proper Classy and Salesforce procedures
  • Support the National Development department with other duties as needed.
  • Support special projects, including department trainings, development network office hours, and other collaborative projects as needed
  • As needed, improve upon current gift processing systems, including: ​​​​​​​​​​​​​​​​​​​​​Maintaining a network-wide gift processing manual with up-to-date information
