About The Position

The Town of Avon, Colorado, is accepting applications for a General Government Administrative Assistant Part -Time Year-Round The General Government Administrative Assistant is responsible for supporting the daily operations of Town Hall’s Front Reception area. The position supports the administrative functions for both the Town Clerk and the Court Clerk and helps to manage the front office operations by serving as the primary point person to greet customers. This position answers the town’s phones (switchboard for all departments) and directs callers and/or customers to the appropriate person or department, handles customer and guest inquiries, and facilitates monetary transactions related to the payment of court fines. The position assists with various administrative duties as directed by the Town Clerk and serves an important role in keeping the front office operations running efficiently.

Requirements

  • Knowledge of Town of Avon policies, standards, and mission and vision statement.
  • Understands the town wide organization and has the ability to direct customers and or employees to the appropriate staff member to answer questions.
  • Knowledge of customer service standards and procedures.
  • Ability to interact with the public in a professional and positive manner providing exceptional and friendly guest services.
  • Some knowledge about accepting and processing payment transactions (typically court payment processing, cash handling and issuing court fine receipts.
  • Ability to work under pressure in a fast-paced environment while maintaining attention to detail.
  • Knowledge of Microsoft Office (i.e., Word, Publisher, Excel, and Outlook) and ability to operate basic office equipment including a computer, fax, telephone, etc.
  • Ability to follow written and verbal instructions.
  • Ability to effectively communicate orally and in writing.
  • Ability to communicate in English effectively both verbally and in writing; Spanish is considered a plus.
  • Ability to understand and exemplify the Town of Avon’s Culture Statement, and willingness to work within that statement.
  • High school graduate or equivalent with one year of administrative assistant experience working in an office environment or a combination of experience with customer service responsibility.
  • Any equivalent combination of training and experience that provides evidence of required knowledge, skills and abilities may be considered.

Nice To Haves

  • Some experience with cash handling is preferred.

Responsibilities

  • Serves as primary front office receptionist for all guests and customers entering Town Hall and ensures everyone is greeted and served in a pleasant and professional manner.
  • Responsible for assisting customers with correct information regarding municipal services and operations as well as community information.
  • Assists Municipal Court by accepting and processing court fine payments.
  • Communicate about issues or areas in need of special attention from the front office employees.
  • Ensure front desk area and guest seating area remain clean and organized.
  • Perform administrative duties to support services offered by Town Clerk and Court Clerk that may require filing, data entry, scanning and copying records, running errands and other miscellaneous administrative duties.
  • Serves as primary person who answers the Town’s telephones, transferring calls, and taking messages.
  • Answers visitor’s questions and addresses concerns.
