About The Position

LRE (Leeward Renewable Energy) is a high-growth renewable energy company forging a sustainable future through integrity, innovation, and positive impact. We own and operate 30 large wind, solar, and energy storage projects across the United States, totaling over 3 gigawatts (GW) of generating capacity. LRE has an ambitious goal of 10GW of operating assets by 2028 and are developing and contracting an increasing pipeline of new projects every year. Job Summary: The Administrative Assistant role will be responsible for supporting our Executive team in addition to having receptionist duties and assisting various departments with special projects. There is a considerable need for customer service skills, professionalism, accommodation, and the ability to successfully blend with all types of personalities.

Responsibilities

  • Serve as the primary on-site administrative support for solar and BESS facilities under the Antelope Valley project portfolio.
  • Assist with coordination of daily activities, technician schedules, and site access for vendors and visitors.
  • Support the Plant Manager with project documentation, workflow tracking, and operational planning.
  • Maintain organized electronic and physical records for operations, safety, and compliance documentation.
  • Enter, track, and close work orders in Maximo or other company work management systems.
  • Assist with generating maintenance reports, updating trackers, and keeping documentation aligned with Asset Management and Engineering needs.
  • Maintain accurate logs related to outages, switching events, inspections, and regulatory documentation
  • Coordinate PR/PO creation, routing, follow-ups, and invoice tracking to ensure alignment with annual budgets.
  • Work with vendors and internal procurement teams to obtain quotes, confirm delivery schedules, and track shipped or received materials.
  • Maintain up-to-date spare-parts inventories for solar and BESS equipment.
  • Support site onboarding for contractors, visitors, and OEM technicians.
  • Manage daily check-ins, badge access, safety orientation confirmation, and sign-in logs.
  • Assist with scheduling vendor mobilizations, ensuring alignment with outage windows and permit requirements.
  • Support the EHS team with safety documentation, including Safety Observations, incident reports, JHAs, and training logs.
  • Maintain records needed for internal audits, insurance requirements, and authority-having-jurisdiction (AHJ) compliance.
  • Assist with documentation tied to NERC, environmental, or local permitting requirements when applicable.
  • Draft emails, reports, and communications on behalf of the site as needed.
  • Assist the Plant Manager with meeting coordination, agendas, minutes, and follow-up actions.
  • Maintain shared folders, trackers, and project documentation repositories.
