About The Position

The Administrative Assistant is responsible for supporting the GADOL Adult Day Program in administrative duties and acting receptionist. The Administrative Assistant will demonstrate and promote a strong work ethic, solution-oriented thinking, practices to ensure a meaningful day for program participants and support the mission and values of Keshet.

Requirements

  • Bachelor’s degree preferred
  • Proven experience as an administrative assistant
  • Complete required training as assigned and in a timely manner
  • Proven track record of designing and maintaining organization systems
  • Detail oriented
  • Positive attitude and friendly demeanor
  • Exceptional oral and written communication skills
  • Proficiency in computer software (Microsoft Office, Slack, Google)
  • Strong organizational skills and adept at performing multiple tasks at once
  • Experience working with individuals with intellectual/developmental disabilities
  • Ability to establish and maintain effective relationships with residents, parents, staff, community partners, and donors
  • Valid Driver’s license
  • CPR and First Aid Certificate required

Responsibilities

  • Greet and assist guests and staff, manage the visitor log, and handle incoming calls, mail, emails, and deliveries.
  • Manage office, kitchen, and program supply inventory, including ordering and maintaining purchase receipts.
  • Coordinate conference room scheduling, setup, and hospitality needs.
  • Collaborate with departmental admins, staff, parents, and team members to support daily operations and events, including new-hire welcomes and staff activities.
  • Oversee GADOL team member attendance, activity funds, and required training (Infinitec), and assist with audits and annual background checks.
  • Serve as liaison with facilities management for building needs and with IT for technology support; oversee maintenance of the Adult Services vehicle fleet.
  • Demonstrate strong professionalism, including problem-solving, judgment, accountability, and effective communication.
  • Ensure compliance with internal policies, state regulations, and perform additional duties as assigned by the Director of Adult Services.
