About The Position

Under the guidance of the Associate Director of General & Company Management, the General & Company Management Coordinator will provide exceptional customer service in all phases of artist relations, with special focus on ensuring guest comfort and sense of security. Provide and supervise the provision of general local transportation support to the OSF company and guests, including airport shuttle, transportation among OSF workplaces and housing, and other general transportation as assigned. Will support the General Management operations of the organization including and not limited to housing lease support, rental payments, real estate, insurance, and housing moves in collaboration with the General Management Associate. Support hospitality, travel, event planning, security, and other duties with the entire Company Management team. Participates in weekly staff meetings, organizational training, and the on-call rotation.

Requirements

  • High School degree or equivalent experience.
  • One year of professional experience in customer service/hospitality-oriented position or equivalent education or years of experience in another industry.
  • Valid driver's license and clear MVR.
  • Frequently climb stairs and travel within the Rogue Valley Area.
  • Occasionally climb ladders and kneel, crouch, stoop, crawl.
  • Regularly lift up to 50 pounds with or without accommodation.
  • OSF requires that all employees working on-site and for whom the COVID-19 vaccine is authorized to be vaccinated against COVID-19. OSF will require proof of an approved COVID-19 vaccination before starting work on site. Responsibilities

Being a “people-person,” able to effectively communicate with a diverse variety of artists, technicians, and managers.

  • Participates in required training sessions, including safety drills and other emergency procedures; performs all work in a safe manner in accordance with policies and procedures.
  • Coordinate all aspects of the department’s ground transportation services including but not limited to: Car Share Program, Car Rentals, Fleet Management, Transportation Calendar, Driver Scheduling, and Evening Shuttle coordination with OSF Security.
  • In collaboration with Support Services and department Associates provide other driving/transportation services as needed, including (but not limited to): shuttle services, artist transport, pickup and delivery of mail, packages, other materials; and returns to local stores.
  • Follow all traffic laws including but not limited to: Posted Speed Limits, Signal Lights, Signs, Designated Airport Rules, Cell Phone Rules, Intoxication Rules, and others. Follow OSF policies and procedures regarding vehicle key, cleaning, maintenance, fueling and storage.
  • Support OSF Housing with furniture acquisition, housing inventory, moving coordination, utility management, and landlord relationship management.
  • Hospitality Planning includes participation in tech treat schedules, Opening/Closing celebrations, Company Seasonal Gift Coordination, Party Coordination with Company Management Assistant, and any All-Company Gatherings.
  • In collaboration with CM Associates and OSF departments oversee all printed or digital collateral provided by department including but not limited to; apartment signage, website, welcome book, Share Point pages, department files, and templates.
  • Participate in the department's 24/7 emergency On-Call schedule. The Associate Director of General and Company Management will assign shifts that include weekday, weekend, and evening shifts; this may include transporting individuals, unlocking doors, reporting urgent housing/maintenance needs, responding to Stage Management needs, etc.
