About The Position

The Gallery & Residency Coordinator supports the administration and successful operation of Greenwich House Pottery's Gallery and Residency Program. The position serves as the primary administrative liaison for exhibiting artists and resident artists, coordinates exhibition and residency logistics, maintains program records, and supports public-facing events and activities related to the Gallery and Residency Program. The Gallery & Residency Coordinator works collaboratively with Pottery staff to ensure that gallery and residency programs support Greenwich House Pottery's educational mission and engagement with contemporary ceramic practice.

Requirements

  • BA, BFA, MA, or MFA in ceramics, art history, arts administration, museum studies, or related field preferred
  • Experience working with artists, exhibitions, residencies, or arts organizations
  • Strong written and verbal communication skills
  • Excellent organizational and project management skills
  • Ability to manage multiple deadlines simultaneously
  • Familiarity with contemporary ceramics and craft
  • Experience with Microsoft Office, Google Workspace, databases, and digital file management systems
  • Ability to work independently and collaboratively
  • Willingness to work occasional evenings and weekends for exhibition openings and special events

Responsibilities

  • Coordinate exhibition application, review, and selection processes
  • Support Gallery & Residency Committee meetings and communications
  • Coordinate annual exhibition schedules and exhibition timelines
  • Serve as primary point of contact for exhibiting artists
  • Coordinate exhibition openings and receptions
  • Coordinate artwork pickup, delivery, and transportation logistics
  • Track gallery sales and coordinate artist payments
  • Coordinate residency application, review, and selection processes
  • Support Gallery & Residency Committee meetings and communications
  • Coordinate resident schedules, presentations, artist talks, and public programs
  • Manage resident onboarding and orientation
  • Serve as primary point of contact for resident artists
  • Support communication between residents and staff
  • Maintain program calendars, schedules, and project timelines
  • Coordinate logistics related to exhibitions, residencies, and public programs
  • Process artist contracts, honorariums, W-9’s, check requests, payments, and related paperwork
  • Maintain organized digital and physical program files, records, reports, and documentation
  • Provide exhibition and residency information to Marketing & Communications staff for press releases and promotional materials
  • Provide exhibition and residency information to Education & Operations staff for internal communications and program promotion
  • Work collaboratively with the Gallery Preparator & Pot Shop Coordinator on exhibition schedules, installation logistics, sales tracking, and artist communications
  • Assist with social media content creation
  • Assist with special projects as assigned
