About The Position

Decoded is looking for a Funding & Compliance Administrator to support the monthly ILR submissions process and general funding and compliance within the business. This role is part of the Quality & Compliance Team and provides dedicated compliance support for Decoded's apprenticeship offering. The administrator will work with various teams including Admissions, Delivery, Client Management, Finance, and Product to ensure accuracy and adherence to funding rules.

Requirements

  • Proven previous involvement in and experience of apprenticeship compliance.
  • A detailed understanding of the UK’s Further Education sector, including apprenticeships.
  • Experience in the administration of training delivery and assessment.
  • Experience of dealing with the DfE (or its predecessor, the Education and Skills Funding Agency) and other relevant education regulators.
  • Excellent attention to detail.
  • Strong background in administration.
  • Excellent analytical skills.
  • Excellent communication skills, both verbal and written.
  • Project management and organisational skills.
  • Proven ability and confidence in taking the initiative.
  • Working knowledge and experience in word processing, database software and spreadsheets.
  • Commitment to safeguarding and promoting the welfare of young people and vulnerable adults.
  • Successful candidates will be required to undergo a DBS check; where the role meets the criteria for regulated activity, an Enhanced DBS check (including a barred list check) will be required prior to commencement of employment.
  • Require 2 professional references that come from either HR department, Current or previous manager, or Someone senior to you in the business.

Responsibilities

  • Provide dedicated compliance support for the apprenticeship offering, working with Admissions, Delivery, Client Management, Finance, and Product teams.
  • Support the team to maintain an accurate Individualised Learner Record (ILR).
  • Stay up-to-date with the Department for Education’s (DfE) apprenticeship funding rules and guidance, and relevant apprenticeship news.
  • Respond appropriately to business demands and requirements, such as DfE Funding Assurance (audit) visits.
  • Maintain accurate learner records through audit activities in accordance with funding requirements to ensure 100% accuracy; this will include ILR, reviews and attendance data.
  • Support timely and accurate draw down of funding and accurate data entries onto government systems and internal learning platforms.
  • Support audit activities and take all necessary steps to resolve any identified issues, such as ILR validation errors or DLOCKs.
  • Document company processes and support the implementation of changes and improvements.
  • Monitor apprenticeship delivery activity to ensure compliance with apprenticeship funding rules.
  • Liaise with delivery teams regarding aspects of compliance.
  • Answer compliance queries from other teams.
  • Support the implementation of the Quality Improvement Plan (QIP).
  • Respond to and resolve potential breaches of rules/regulations, policies and procedures by regular monitoring and evaluation across teams.
  • Provide performance and data reports to assist with data analysis and identifying areas for continuous improvement.
  • Create and maintain reports on compliance for various functions of the business.
