About The Position

At Self-Help Enterprises (SHE), every interaction matters. As our Front Office Technician, you'll often be the first person families, community members, partners, vendors, and visitors meet—whether they walk through our doors or call us by phone. Your professionalism, compassion, and ability to connect with people help shape the first impression of our organization. Because this position is many people's first contact with SHE, you play a vital role in creating a welcoming, positive, and professional experience for everyone seeking our services or working with our organization. You'll communicate with a diverse range of community members, program participants, partners, and staff, ensuring each person is greeted with respect and connected to the information or resources they need. Working closely with program staff, you'll also support participant intake, helping individuals and families take the first step toward accessing programs that strengthen communities throughout the San Joaquin Valley. This position is essential to the daily operations of SHE and plays a key role in supporting both our staff and the communities we serve.

Requirements

  • Enjoys working with people from diverse backgrounds and cultures.
  • Communicates professionally and compassionately, both in person and over the phone.
  • Can balance multiple priorities while maintaining accuracy and attention to detail.
  • Is dependable, organized, and able to work both independently and collaboratively.
  • Maintains confidentiality and handles sensitive information with discretion.
  • Is comfortable using Microsoft Office applications (Word, Outlook, Excel) and learning new computer systems.
  • Is fluent in both English and Spanish

Responsibilities

  • Welcome visitors and provide a professional, friendly, and helpful first impression of SHE.
  • Answer and direct incoming phone calls while assisting callers with information about multiple programs and services.
  • Conduct participant intake and connect community members with the appropriate departments and resources.
  • Provide administrative and clerical support to program staff.
  • Maintain accurate files, records, and data entry in multiple systems.
  • Process incoming and outgoing mail and distribute it to mailboxes and office staff.
  • Assist the accounting department with monthly reports as needed.
  • Conduct a weekly supply inventory and ordering along with other general office operations.
  • Help maintain an organized, professional, and welcoming office environment.
  • Deliver exceptional customer service to participants, partners, vendors, and coworkers.
