About The Position

The Front Office Specialist is responsible to support communication between clients, visitors and staff and providing basic front office support. The Front Office Specialist provides customer service, and communication support between clients, visitors, vendors and Pathways staff. S/he is responsible for basic front office duties such as answering phones, checking in clients and visitors for appointments, doing reminder calls, re-scheduling appointments, performing insurance verification, scheduling interpreter services, making transportation arrangements, collecting co-pays, and sorting mail and other related tasks. S/he will perform related duties and special projects as assigned by supervisor as required by Pathways or various contracts/funders. The Front Office Specialist may have special duties and responsibilities specific to them or the assigned site and will be cross-trained to assist with other duties. S/he may be scheduled to provide coverage at other sites as needed and work scheduled hours to accommodate the agency needs.

Requirements

  • Answering multi-line phones
  • Strong computer knowledge and skills (Word/Outlook/Internet/Electronic Health Records)
  • Basic knowledge of data entry, scheduling appointments
  • Effective collaboration
  • Ability to work independently with minimal supervision
  • Ability to effectively prioritize and manage time
  • Good customer service and phone skills

  • Adherence to HIPAA and confidentiality

  • Timely and consistent completion all required training
  • Flexibility and ability to manage ever-changing priorities and to meet the needs of the clients/members
  • Effectively use the Electronic Health Record system
  • Demonstrate professionalism, integrity, and ethical behavior
  • Must have current fingerprint clearance (and maintain during employment) and be able to pass the background check.
  • Proof of: current TB test, CPR/FA and proof of education are required.
  • Proof of auto insurance and a valid AZ driver’s license if required to use personal vehicle for Pathways business.
  • The fingerprint clearance and driver’s license must be without restrictions.
