About The Position

The Front Office Representative role is available at both OUC Ambassador and OUC Scott locations, with a future plan to relocate to the OUC Youngsville clinic upon its opening. This position involves greeting patients, managing patient information, handling financial aspects of patient accounts, and ensuring excellent customer service. The representative will be responsible for patient check-in, form completion, insurance verification, co-payment collection, and maintaining patient confidentiality. Additionally, they will manage the cash drawer, communicate wait times to patients, and possess a general understanding of insurance requirements and medical terminology.

Requirements

  • High school diploma or GED.
  • Minimum of one year of patient registration experience in a medical office or healthcare setting.
  • Knowledge of insurance rules and regulations, medical terminology, and computer scheduling systems.
  • Effective communication skills with physicians, patients, and the public.
  • Ability to establish good working relationships with internal and external customers.
  • Knowledge of insurance rules and regulations, including eligibility and referral requirements.
  • Ability to verify eligibility of each payer, per patient according to defined parameters.
  • Knowledge of medical terminology and HIPAA Guidelines.
  • Computer knowledge, including Windows-based programs.
  • Ability to maintain patient confidentiality.
  • Ability to communicate with upset and frustrated patients while consistently providing excellent customer service.
  • Demonstrates empathy, concern, good listening skills, and compassion for all patients.

Nice To Haves

  • Previous experience in collecting money is preferred.

Responsibilities

  • Greets and acknowledges patients promptly.
  • Informs Medical Assistants (MAs) and Providers of patient arrivals.
  • Instructs patients on completing medical history and patient information forms, making necessary corrections to patient accounts.
  • Obtains accurate demographic and insurance information, as well as financial contracts/consents.
  • Interviews patients and guarantors to gather accurate information.
  • Identifies and collects co-payments, co-insurances, and past due account balances.
  • Explains financial requirements to patients regarding billing and insurance matters, referring complex questions to the Site Billing Specialist.
  • Evaluates patient financial status and establishes payment plans within authority levels.
  • Accurately completes and interprets insurance verification and benefits.
  • Notifies patients, family members, physicians, and/or supervisors of network insurance coverage issues that may affect coverage.
  • Scans all new or updated patient information into the computer, including photo ID, insurance cards, referrals, and paperwork.
  • Reviews estimated out-of-pocket responsibilities with patients for future appointments.
  • Reviews patient insurance coverage and notifies patients if a service requires authorization or referral.
  • Maintains general knowledge of insurance plans accepted by LOS.
  • Communicates with patients in the lobby regarding physician or provider delays.
  • Maintains a secure and accurate cash drawer and performs daily balancing.
  • Maintains strict patient confidentiality.
  • Demonstrates current competencies for the job position, including a general understanding of insurance requirements.
