About The Position

San Francisco Day School is looking for a warm, welcoming, calm, mature and professional individual for our Front Office Receptionist. This position plays a critical forward facing role focusing on front office operations and communications, student attendance, and serves as the bridge between administration, faculty, and families.

Requirements

  • Must be comfortable around children and have a warm, welcoming and professional presence
  • Undergraduate degree
  • Clear and tactful communication skills
  • Strong ability to multitask between small and large projects
  • Excellent organizational skills
  • Proficient in Google Suite and Microsoft Suite
  • Per CA statutes, all School employees should be able to pass a Federal and State background check, SB 848 references, provide a negative TB test and maintain professional behavior during the period of employment.

Responsibilities

  • Answer or redirect all general questions (in-person/phone/email) from multiple stakeholders the school community including: Managing [email protected] email responding to questions from families, and troubleshoot issues as they arise
  • Supporting NEW families with SchoolPass onboarding as needed
  • Admissions reception support
  • Collaborate on parent / teacher conferences and bridge meeting links, sign ups, and coordination
  • Ensure daily attendance is recorded in SchoolPass for all employees and students
  • Remind employees to take attendance by 9:00 am and contact parents for unexcused absences daily
  • Communicate Dismissals after the SchoolPass cutoff time
  • Keep teachers & Security informed of student daily comings and goings once families share updates through phone calls and Gchat
  • Update and maintain faculty and staff list of room phone numbers and offices in partnership with Director of Facilities and Director of Innovation, Technology, and Operations
  • Create and maintain an updated "Front Office" Norms and share with anyone who covers the front desk
  • Document phone calls made from students from the front office
  • Sort physical mail into mailboxes using Verkada system
  • Supporting the school photos process from start to completion with the PGA, including managing vendors when on campus, making sure students are well represented, creating a schedule in coordination with Divisional Leaders
  • Organize and manage materials for the start of school (ie: placards)
  • Cover and support the health office and other admin and staff as needed
  • Recognize employee life moments or milestones as the Sunshine Committee lead including managing the budget
  • Keep front office clean and professional
  • Program Support graduation preparation including robes, photographers, stolls, etc.
  • Participate in operational check in meetings as necessary
  • Provide flexible general administrative support to meet ongoing needs
